We are looking for an organised and reliable Accounts & Administration Coordinator to join our Melbourne team, providing day-to-day support to our Company Accountant and the wider business.
This is a varied, hands-on role combining accounts support with general business administration. It would suit someone who enjoys working across different areas of a business, takes pride in accuracy and organisation, and is happy to get involved wherever support is needed.
You do not need to be a qualified accountant. However, you should have previous experience in an accounts, bookkeeping or administration setting, be confident working with numbers and have strong attention to detail.
The Role
Working closely with our Company Accountant, your responsibilities will include:
- Processing sales and purchase orders
- Assisting with customer and supplier account queries, including resolving invoice discrepancies and outstanding accounts
- Assisting with accounts payable and accounts receivable reconciliations
- Processing supplier payments and staff reimbursements
- Performing data entry and general accounts administration
- Setting up new employees within company systems
- Monitoring staff timesheets and preparing documentation to support payroll processing
- Maintaining accurate inventory, supplier and customer account records
- Assisting with month-end preparation and reporting
- Supporting the warehouse team with delivery and freight-related paperwork
- Maintaining financial and administrative records and documentation
- Providing general administrative support across the wider business
- Assisting with ad hoc projects and reporting as required
About You We are looking for someone who is dependable, organised and comfortable working in a busy commercial environment.
Ideally, you will have:
- Previous experience in an accounts, bookkeeping or administration role
- Experience with accounts payable and/or accounts receivable
- Strong numerical accuracy and attention to detail
- Good Microsoft Excel and general computer skills
- Experience using accounting or ERP software
- Strong organisational and time-management skills
- The ability to manage multiple priorities and meet deadlines
- Good written and verbal communication skills
- A practical, hands-on approach and willingness to assist across different areas of the business
- The ability to work both independently and as part of a team
Experience within a wholesale, importing, distribution or consumer products business would be advantageous, but is not essential.
