Front of House Coordinator
About the Role
The Front of House Coordinator plays a pivotal role in shaping the experience of everyone who walks through our doors. As the first point of contact for clients, visitors and team members, you'll create a warm, welcoming and memorable experience that reflects ClarkeHopkinsClarke's values, culture and commitment to design excellence. This is a dynamic and people-focused role where no two days are the same. You'll be at the heart of the studio, coordinating front-of-house operations, supporting client meetings and events, managing day-to-day administration, and helping ensure the studio runs seamlessly. You'll work closely with our Melbourne, Sydney and Brisbane teams, acting as a key connector across the practice and contributing to a positive and engaging workplace experience.
Key Responsibilities
- Provide a warm, professional and personalised welcome to all clients, guests and team members
- Answer, screen and direct incoming phone calls and enquiries
- Coordinate meeting room bookings and support technology set-up
- Welcome visitors, coordinate refreshments and assist with client hospitality
- Maintain the presentation of reception, meeting rooms and communal spaces
- Manage incoming and outgoing mail, deliveries and couriers
- Order and maintain office supplies, design materials, groceries and stationery
- Manage the studio inbox and respond, refer or follow up as required
- Support the coordination of client meetings, presentations and studio events
- Collaborate with teams across the practice to ensure smooth day-to-day studio operations
- Assist in the preparation of presentations,
studio communications, event collateral and other branded materials
About You
You'll be someone who genuinely enjoys creating great experiences for people. You thrive in a fast-paced environment, take pride in presentation and organisation, and bring a positive, can-do attitude to everything you do.
You will ideally have
- Experience in a reception, front-of-house, office coordination or customer service role
- Exceptional interpersonal and communication skills with a client-focused mindset
- A passion for delivering outstanding hospitality and creating memorable client experiences
- Strong organisational skills with the ability to manage multiple priorities and competing demands
- A proactive and solutions-focused approach with a willingness to jump in and help where needed
- High attention to detail and pride in creating a polished and professional environment
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
- Experience using Canva, Adobe Creative Suite or similar graphic design software, with the ability to create polished presentations and visual materials, highly regarded
- An eye for design, layout and visual presentation
- The ability to build strong relationships and contribute positively to a collaborative studio culture
