UKG Pro WFM Functional Implementation Lead
12 MONTH CONTRACT
About the Role An exciting opportunity exists for an experienced UKG Pro WFM Functional Implementation Lead to play a key role in the delivery of a large-scale enterprise workforce management transformation program.
The program is implementing a single, enterprise-wide rostering, timekeeping and workforce management solution, replacing multiple legacy systems and processes. The objective is to deliver a streamlined, standardised and scalable workforce management platform that improves operational efficiency, workforce visibility and employee experience across a large and geographically dispersed organisation.
The UKG Pro WFM Functional Implementation Lead will lead the functional implementation workstream, providing day-to-day leadership of the Business Analysis team and coordinating the functional design, requirements management, configuration inputs, testing support, deployment readiness and stakeholder engagement activities.
This role requires deep expertise in UKG Pro WFM and the ability to guide business and project stakeholders through the design, configuration and implementation of a complex workforce management solution supporting a large employee population.
Working closely with business leaders, subject matter experts, Business Analysts, solution architects, technical teams, data specialists, testing teams and change practitioners, the successful candidate will ensure the delivery of a fit-for-purpose UKG Pro WFM solution aligned to business requirements and program objectives.
Key Responsibilities
Functional Leadership & Delivery
- Lead and manage the UKG Pro WFM functional implementation workstream.
- Provide leadership, mentoring and direction to the Business Analysis team.
- Coordinate functional activities across multiple project streams to ensure successful delivery outcomes.
- Monitor deliverables, risks, dependencies and issues, escalating where required.
Requirements & Solution Design
- Lead the elicitation, analysis and documentation of business and functional requirements.
- Facilitate workshops to capture operational processes, business needs and workforce management requirements.
- Translate requirements into Business Requirements Documents (BRDs), Functional Specification Documents (FSDs), user stories and UKG design workbooks.
- Provide expert guidance on UKG Pro WFM capabilities, solution design and industry best practices.
Configuration & Documentation
- Oversee the completion and quality assurance of configuration workbooks and implementation documentation.
- Support the translation of business requirements into configuration outcomes.
- Ensure traceability between requirements, design decisions and solution delivery.
Testing & Implementation Readiness
- Coordinate Business Analyst involvement in test planning, test preparation and execution activities.
- Support system integration testing, user acceptance testing and business validation activities.
- Facilitate business readiness activities and stakeholder sign-off processes.
- Work closely with technical and testing teams to ensure end-to-end solution quality.
Process Improvement
- Analyse workforce management processes and identify opportunities for optimisation and automation.
- Recommend improvements aligned with system capabilities and organisational objectives.
- Support ongoing continuous improvement initiatives throughout the implementation lifecycle.
Skills & Experience
Essential
- Proven experience leading functional implementation teams and Business Analysts on UKG Pro WFM, Kronos or equivalent Workforce Management (WFM) platform implementations .
- Minimum 7 years' experience in business analysis, functional implementation, workforce management systems or enterprise project delivery.
- Demonstrated experience coordinating teams, workstreams and project deliverables in large, complex environments.
- Robust knowledge of workforce management functions including:
- Time & Attendance
- Rostering & Scheduling
- Leave Management
- Accruals
- Activities
- Forecasting
- Payroll Integrations
- Strong stakeholder engagement, workshop facilitation and requirements gathering skills.
- Experience producing high-quality documentation including BRDs, FSDs, user stories, process maps and design artefacts.
- Excellent analytical, communication and problem-solving capabilities.
- Ability to prepare executive-level status reports, decision papers, presentations and stakeholder briefings.
- Strong attention to detail and commitment to quality delivery.
Desirable
- UKG Pro WFM certifications.
- Experience configuring UKG Pro WFM within Australian workforce environments.
- Knowledge of Award interpretation, Enterprise Agreements and payroll integration requirements.
- Experience delivering workforce management transformations for large, multi-site or highly operational organisations.
