Legal Secretary | Property & Conveyancing (entry level or experienced)

Swanwick Murray Roche Lawyers is seeking an organised and capable Legal Secretary to join our Property and Conveyancing team. Established in 1892, Swanwick Murray Roche is a well-regarded regional law firm practising in property, commercial, business, succession, family and compensation law. We are looking for a dependable team member who will take pride in helping clients and solicitors progress important transactions efficiently and accurately.
This role is open to both experienced property or conveyancing legal secretaries and entry-level applicants with strong administration skills, good judgment and the aptitude to develop a career in legal practice.
This is not a remote role. The successful entry-level applicant will work from our Rockhampton office. For an experienced and proven candidate, we can offer some flexibility in hours and agreed work-from-home arrangements.
The role
You will manage and assist (depending upon the successful candidates level of experience) with a varied portfolio of property files, including residential conveyancing and body corporate matters. You will also support solicitors with transactional work in rural, industrial and commercial property matters.
Your responsibilities will include
- managing conveyancing files from opening through to settlement;
- preparing contracts, template letters and correspondence;
- ordering, reviewing and summarising searches;
- preparing settlement statements and settlement figures;
- preparing and lodging stamp duty documentation and assessments;
- using PEXA and electronic lodgement platforms;
- coordinating settlements and post-settlement steps;
- monitoring critical dates, conditions, finance approvals and key milestones;
- managing busy calendars and maintaining transparent, accurate file records; and
- providing dependable administrative support to solicitors and clients.
About you The successful candidate should be positive, confident and practical, with a genuine interest in property law and a commitment to helping matters progress smoothly. You will ideally have:
- experience in a legal secretary, conveyancing or property administration role;
- experience with PEXA, electronic conveyancing, Titles Queensland processes or stamp duty documentation;
- experience using LEAP, which will be highly regarded;
- strong written and verbal communication skills;
- excellent organisation, record-keeping and time-critical diary management skills;
- careful attention to detail and the capacity to work calmly through competing deadlines;
- proficiency in Microsoft Office, Outlook and document management systems; and
- a professional, friendly and client-focused manner.
Previous experience in a law firm is desirable but is not essential for an entry-level applicant with the right aptitude, work ethic and communication skills. Applicants undertaking a law degree will also be viewed favourably.
Remuneration and benefits
Salary will be commensurate with experience and capability however pay is considerably above award wages. Entry level candidates might expect between $55k to $65k per annum plus superannuation, experienced candidates might expect anywhere in the range of $65k to $100k per annum plus super. Pay is ultimately commensurate with experience and ability.
