Operations Project Coordinator

Keep BAC's client delivery running clean. As Operations Project Coordinator you stand up every new engagement, own the template set our consultants deliver from, and keep the tracking and process behind delivery tidy, so the teams stay focused on clients.

About BAC

BAC is a go-to-market systems integrator and HubSpot Diamond Partner, focused on helping financial services firms scale. We build HubSpot and Claude into a single system that runs a firm's go-to-market. Financial services is our flagship; we also work across manufacturing and distribution, construction and engineering, and healthcare.

This role sits in Operations, the engine room behind our consulting delivery. Our consultants own the client and the outcome; you own the operational setup, the standards and the clean data that let them deliver without friction. You report to the Director of Operations.

The role

As Operations Project Coordinator you keep the machine behind delivery running. You set up each engagement, own the templates every project runs on, keep our project systems and data clean, and give leadership a reliable view of delivery health. You raise issues early and escalate the calls that are not yours to make. It is a coordination role with real ownership of the operational standard, not of the client relationship.

Responsibilities and duties

Project mobilisation

- Stand up each new engagement: draft the initial budget, resource plan and delivery schedule, and prepare the kickoff documentation.
- Set up project infrastructure at kickoff, including the ClickUp project, Google Drive structure, Slack channel and team access.
- Coordinate client-side readiness: system and HubSpot access, API details and data exports, tracked through to completion.
- Run the pre-sales handover. Confirm sales has completed it correctly, and go back to sales when they have not.
- Confirm the consultants have everything they need in the project folder before kickoff.

Standardisation

- Own the template set so no consultant rebuilds one: kickoff, client cadence report, cadence plan and client expectations, internal cadence, project closure report, and the CORE to LIFT handover.
- Keep the templates and the initiation checklist current, so every engagement starts and ends the same clean way.
- Make the standard stick. Bring drift back yourself where you can, and escalate it where you cannot.

Project tracking and reporting

- Maintain a single ClickUp dashboard a director can open without asking anyone a question. Per project it shows billing milestone status against the baseline set at kickoff and the drift since, tasks overdue, and whether the project is running behind.
- Fill the gaps in that dashboard through internal cadences and one-on-ones with the delivery leads.




- Produce status reporting that gives leadership a reliable, portfolio-wide view of delivery health.

Internal cadences

- Run a short, structured cadence with each consulting pod lead as part of the daily rhythm.
- Arrive prepared. You are not collecting a status from scratch, you are testing what the dashboard already tells you.

Resource coordination

- Maintain a live view of consultant allocation and forward availability, and flag clashes and capacity gaps to the Director of Operations.
- Coordinate the scheduling of workshops, cadences and milestone sessions across the delivery team as required.

Coordination and handoffs

- Orchestrate handoffs across the consulting, engineering and sales teams, so work moves cleanly between them and nothing stalls in the gaps.

Billing support

- Track billing milestone status ahead of the invoicing point rather than at it. You track the milestone; the Director of Operations raises the invoice in Xero.

Wider operations

- Pick up the operational work the business needs beyond client delivery: team events, and support to HR and finance as required.
- This is the smaller part of the role. Client delivery comes first, and this is what you turn to around it.

Risk flagging

- Track scope, schedule, budget and resource risks across the portfolio, and keep the risk and issue log current.
- Raise the flag when a project is drifting from the methodology or is at risk on schedule or budget. Directors cannot be across every engagement, and this is the role that tells them.
- Make the operational calls within your remit, and escalate strategic or commercial decisions to the Lead Consultant or Director of Operations.

Client contact

- Build a working relationship with the client account over time, and support the client and the delivery team in keeping the engagement on its agreed milestones.
- You do not lead client meetings. The lead consultant remains the client-facing lead on every engagement.

Accountabilities

This is what you own and are answerable for, not just the tasks you carry out:

- Clean starts. Every engagement begins with its budget, resourcing, schedule, infrastructure and access in place.
- One standard. The template set exists, is current, and is the one every consultant actually uses.
- Reliable visibility. Leadership reads project health off your dashboard instead of asking for it.
- A reliable resourcing view. Allocation and availability are always current,



and clashes surface early.
- Clean handoffs and timely invoicing. Work moves between teams without stalling, and billing milestones are flagged in time.
- Early warning. Schedule, budget and methodology risks reach a director from you, before they reach the client.

About you

You create order from chaos and enjoy it. A messy project is a problem you cannot leave alone, and you follow through until it is clean.

- 3+ years in project coordination, delivery operations, RevOps or professional-services support.
- Organised and structured above all else. This is the thing the role stands on.
- Skilled presence. Calm and measured, not rushed, and steady when the portfolio is not.
- Client-capable. Able to hold an email thread and sit in front of a client without supervision.
- Comfortable holding people to a process they have drifted away from, including people more senior, without needing seniority to do it.
- Clear communication across consultants, clients and leadership.
- Happy to step outside project work when the business needs it, and to treat what you see across HR and finance as confidential.
- Comfortable with autonomy in a fast-paced, scaling environment: give you the objective and you find the path.
- AI-augmented. You are eager to use AI to work faster, and ready to explain how you use and validate it.
- Australia-based and eligible. You live in Australia and are an Australian citizen or permanent resident. This role is 100% remote.

Nice to have

- Fluency in Claude and Claude Cowork
- Hands-on experience with ClickUp, HubSpot, Xero, Google Workspace or Slack
- Experience in a consulting or professional-services delivery environment
- A RevOps or delivery-operations background The first two months The Director of Operations trains you and hands the machinery over. The first iterations of the process, methodology and documentation come from her; you roll them out and then own them.
