The Position: Front Desk Executive/Receptionist

We are seeking a motivated, reliable, and polished Front Desk Executive to join SHG's Operations Team, reporting directly to the Operations Manager. This is a varied and highly visible role suited to someone who enjoys being organised, interacting with people, and taking ownership of a broad range of administrative and front-of-house responsibilities.

You will be responsible for ensuring clients and guests receive a professional and welcoming experience, while supporting the wider team with reception, communications, meeting rooms, events, mail, office administration, and day-to-day operational requirements.

In This Role, You Will:

- Front of House: Welcome and assist all clients, guests, and contractors, ensuring a professional and positive experience from arrival through to departure.
- Reception & Communication: Manage incoming calls, transfer enquiries to the appropriate team members,



and ensure messages and voicemails are passed on within one business hour.
- Meeting Rooms: Coordinate SHG meeting rooms, prevent double bookings, and ensure rooms are appropriately prepared and reset following appointments.
- Leads & Enquiries: Enter current leads into EvolveGo, collect relevant client and matter information, conduct conflict checks, and ensure enquiries are directed to the appropriate team within one business hour.
- Office Operations: Liaise with the landlord and Operations Manager regarding office maintenance and assist with the smooth running of the workplace.
- Mail & Couriers: Manage incoming and outgoing mail, including scanning and saving documents into EvolveGo, organising mail rounds, and arranging couriers where required.
- Events: Coordinate internal events, including catering, room set-up, supplies, and name tags.
- Office Supplies: Manage weekly grocery and stationery orders and monitor stock levels to ensure the office remains appropriately supplied.
- Team Support: Assist with archive duties during periods of leave and participate in staff meetings, social activities, marketing, and training initiatives.

About You:

- You are professional, polished, and confident, with a natural ability to make clients and visitors feel welcome.




- You have excellent communication and organisational skills, with strong attention to detail.
- You are reliable, proactive, and able to prioritise competing tasks in a busy professional workplace.
- You are comfortable communicating with clients, stakeholders, contractors, and internal team members.
- You take ownership of your responsibilities and have a practical, can-do approach to supporting a team.
- You are comfortable working with administrative systems and maintaining accurate records.
- Previous experience in reception, administration, qualified services, legal services, or a similar client-facing environment would be highly regarded.
