About the role
The Receptionist is the first point of contact for students, prospective students, visitors and callers, and plays a central role in the smooth day-to-day operation of the campus. Working part-time at our Melbourne campus, the successful candidate will manage front-of-house reception, provide high-quality customer service, and support student administration and compliance activities. A key focus of the role is the accurate use of the aXcelerate Student Management System (SMS) for enrolments, student records and reporting. A significant proportion of our student community speaks South Asian languages, and the ability to communicate fluently in Punjabi, Urdu or Hindi in addition to qualified English is essential to helping our students feel understood and supported.
Key responsibilities
- Act as the first point of contact at reception, greeting students, prospective students, visitors and industry partners in a professional, warm and helpful manner.
- Answer, screen and direct incoming telephone calls, respond to the general email inbox, and manage walk-in enquiries, ensuring every enquiry is handled promptly or referred to the appropriate staff member.
- Provide accurate information about courses, fees, enrolment processes, timetables and campus services, and assist prospective students through the initial enquiry and application stages.
- Maintain a tidy, welcoming and well-presented reception and student common area, including managing meeting-room bookings and visitor sign-in.
- Accurately create, update and maintain student records, enrolments, course details and contact information within the aXcelerate Student Management System.
- Process enrolments, generate and issue documents, record payments and receipts, and maintain up-to-date attendance, progress and compliance data in aXcelerate.
- Generate reports from aXcelerate as required (for example enrolment, attendance, course progress and outstanding-fee reports) to support management and compliance.
- Assist with Unique Student Identifier (USI) verification, Confirmation of Enrolment (CoE) administration, and the accurate entry of data used for AVETMISS and government reporting.
- Maintain and file student documents (both electronic and hard copy) in line with the Institute's record-keeping and privacy obligations.
- Communicate clearly and empathetically with a culturally diverse student body, using Punjabi, Urdu or Hindi where it helps students better understand enrolment, fees, attendance and compliance requirements.
About you
- Demonstrated reception or student administration experience within a college, RTO, or other education provider (recent and relevant experience is required).
- Proven, hands-on proficiency with the aXcelerate SMS/LMS, including enrolments, student records, payments, reporting and data entry.
- Fluency in at least one of Punjabi, Urdu or Hindi, in addition to a professional standard of spoken and written English.
- Excellent interpersonal and customer-service skills, with a warm, patient and professional manner when dealing with students from diverse cultural backgrounds.
- Strong organisational skills, attention to detail and the ability to manage multiple tasks and priorities in a busy front-desk environment.
- Sound computer literacy, including Microsoft Office (Word, Excel, Outlook) and general office systems and equipment.
- Valid rights to work in Australia.
- Working knowledge of the ESOS Act, National Code 2018, CRICOS and PRISMS, and experience supporting international students (desirable).
- Familiarity with AVETMISS reporting, USI, and student visa / compliance requirements (desirable).
