Position: Program or Project Administrator Position Type: Full Time Salary: 85,000 - $90,000 p/a plus Super Employer Name: RS CALIBRATION PTY LTD A.B.N. ************** Job Location: 23/7 Lyn Parade, Prestons, NSW, ****, AUSTRALIA Advertising Period: 28 days - 7 Sep ****** Oct **** Summary Our client RS Calibration Pty Ltd is an established calibration and repair services provider based in Prestons, NSW, delivering precision, reliability and quality-assured support across force, torque and related instruments.
Our client is seeking to add Program or Project Administrator capability to coordinate service projects, documentation, reporting, workflow tracking and operational support while helping maintain accuracy, compliance and efficient turnaround times.
The role requires a detail-oriented project administration qualified with experience supporting structured project workflows, stakeholder communication, project documentation, reporting and service coordination.
The successful applicant will assist management and technical staff by tracking deliverables, maintaining accurate records, coordinating project information and supporting continuous improvement across calibration and repair service operations.
The typical job responsibilities will include, but are not limited to the following: • Coordinate calibration and repair projects from intake through scheduling, progress tracking, completion and client delivery.
• Maintain accurate project records, service paperwork, quotations, work orders, requirements notes, progress updates and reports.
• Liaise with technicians, managers, clients and suppliers regarding project progress, service priorities, timelines and required documentation.
• Respond to client enquiries about calibration services, repair timelines, project status,
documentation and service outcomes.
• Prepare and review reports concerning calibration activities, workflow performance, project progress and service outcomes.
• Track project milestones, deliverables, risks and issue logs to minimise delays and support timely service turnaround.
• Assist management with matters requiring attention across projects, including scheduling conflicts, work-order variations and service priorities.
• Monitor variations to work orders, project scope, client requirements and service instructions, and communicate changes to relevant stakeholders.
• Collect, organise and analyse service and project data to support reporting on project outcomes, efficiency and workflow improvement.
• Support compliance with quality control processes, documentation standards, calibration records and internal service procedures.
• Coordinate scheduling of equipment calibration, repair tasks, follow-up communications and related support services.
• Review project documentation for accuracy and completeness before issuing certificates, reports or client updates.
• Support contractor or supplier coordination where specialised calibration or repair services are required.
• Maintain project tracking tools, task lists, schedules or workflow systems used to monitor service progress and accountability.
• Contribute to continuous improvement of administrative systems,
project workflows and reporting processes.
Applicants must meet the following minimum requirements to be considered for the role: • Relevant diploma-level qualification or higher, or at least three years of comparable project administration or project coordination experience.
• Demonstrated experience coordinating multiple projects or service workflows, including scheduling, milestone tracking, deliverable monitoring and follow-up of outstanding actions.
• Proven ability to maintain accurate project documentation, including work orders, requirements notes, progress reports, status updates, meeting/action records and client communications.
• Experience using project tracking, workflow management, CRM, dashboard, spreadsheet or collaboration systems to monitor project progress and prepare reports.
• Demonstrated ability to liaise with technical and non-technical stakeholders, including managers, technicians, clients, suppliers or contractors, to resolve project-related issues.
• Experience preparing or reviewing project reports, performance summaries, workflow data or service activity reports to support management review and operational improvement.
• Ability to monitor project risks, issue logs, dependencies, scope changes or work-order variations and escalate matters requiring management attention.
• Experience in a technical service, calibration, repair, engineering, laboratory, software, CRM, enterprise systems or precision equipment environment is strongly preferred.
