We are currently seeking a highly organised and detail-oriented Project Administration Assistant to provide critical support to our Project Administration team in a part-time, six-week contract position.
About the Role
As Project Administration Assistant, you'll be responsible for providing administrative and coordination support that helps keep projects running smoothly and efficiently. You'll work closely with Project Administrators and a range of internal and external stakeholders, ensuring records are accurate, processes are completed on time, and communication flows effectively across the business.
This is an excellent opportunity for an experienced administrator who enjoys working in a fast-paced environment and takes pride in delivering high-quality support.
Key Responsibilities
Project Coordination & Support
- Provide day-to-day administrative support to the Project Administration team.
- Maintain project registers, job tracking systems, and filing records.
- Assist with mobilisation and demobilisation activities, including travel, accommodation, and induction arrangements.
- Process purchase orders,
receipting activities, and general EMRS transactions.
- Support project documentation and reporting requirements.
Operational Administration
- Coordinate ordering of PPE, uniforms, and project-related materials.
- Maintain mobile phone and IT asset registers.
- Update staff leave planners with project travel, training, and induction bookings.
- Organise meetings, training sessions, and catering arrangements.
- Respond to and appropriately direct internal and external enquiries.
Team & Business Support
- Build positive working relationships with clients, suppliers, and internal stakeholders.
- Contribute to a collaborative, professional, and safety-focused workplace culture.
- Maintain confidentiality when handling sensitive information.
- Participate in training, development, and continuous improvement initiatives.
- Undertake general administrative duties and other tasks as required to support business operations.
About You
To succeed in this role, you'll be a proactive and organised administrator with strong attention to detail and the ability to manage competing priorities.
Qualifications
- Certificate or Diploma in Business Administration (preferred).
Experience
- 2-3 years' experience in an administrative or project support role.
- Previous experience supporting administrative functions within a busy, fast-paced environment.
- Exposure to project administration activities will be highly regarded.
Skills & Attributes
- Excellent organisational and coordination skills.
- Strong written and verbal communication abilities.
- Ability to prioritise tasks and meet deadlines.
- High level of accuracy and attention to detail.
- Intermediate proficiency in Microsoft Office Suite.
- A positive, team-oriented approach and strong customer service mindset.
Requirements
- Full working rights in Australia.
- Current C-Class Driver's Licence.
