About the opportunity
You will take ownership of the live service schedule in Nexus service manager and become the central point of continuity for routine matters affecting scheduled work. You will work closely with field technicians, clients, Service Systems Officer and supervisor. Throughout the day, you will need to balance planned commitments with technician availability, site requirements, vehicle capacity and unexpected disruptions. This is not a passive administration position. It requires someone who will monitor what is happening, make routine decisions within agreed procedures and follow outstanding matters through until they are properly resolved.
Key responsibilities
- Maintaining an accurate and achievable live service schedule in Nexus
- Allocating work according to technician availability, capability, vehicles and known site requirements
- Preparing scheduled work for transfer to Webfleet and using route optimisation to improve daily route efficiency
- Responding confidently and helpfully to routine client and technician enquiries
- Monitoring service progress and ensuring incomplete, disrupted or outstanding work remains visible and is addressed promptly
- Recording and closing service calls and issues in accordance with established procedures
- Assigning approved service audits, site inspections and sales visits and following them through to completion
- Establishing approved new service work accurately in Nexus
- Preparing routine service reports and maintaining the operational records needed to support reliable delivery
- Coordinating vehicle reports, approved servicing movements and technician van swaps around service requirements
What we are looking for: A candidate who is
- Experience in service scheduling, workforce scheduling, dispatch, logistics or a comparable coordination role
- Can organise competing commitments across several field-based employees
- Remains calm and methodical when schedules change or several requests arrive at once
- Communicates clearly and confidently with clients and technicians
- Makes sound routine decisions without needing constant direction
- Pays close attention to detail without losing sight of the overall schedule
- Uses systems and available information rather than relying on memory
- Notices developing problems and raises them before they become more difficult to resolve
- Takes ownership of outstanding matters and follows them through without repeated reminders
- Is comfortable working in a role where priorities can change during the day
