Concept Collections is Adelaide’s specialist supplier of commercial furniture to restaurants, cafes, bars, hotels, and clubs across SA and interstate. Since 2006 we’ve built a reputation for quality, service, and reliability. We’re a tight-knit team based in Regency Park and we’re looking for a capable, customer-focused administrator to keep orders and logistics running smoothly.
The chance
Permanent part-time, 25 hours per week, on-site at Regency Park. Ideal for someone who wants consistent school-hours work across five days. You’ll be the hub between customers, sales, suppliers, warehouse, and freight partners - making sure orders are processed accurately, schedules line up, and deliveries land on time.
What you’ll do
- Process customer orders accurately and promptly; keep customers and suppliers updated by phone and email.
- Assist with purchase order creation and supplier follow-up to ensure stock availability and on-time delivery.
- Coordinate production and delivery schedules with the warehouse; manage calendars and follow-ups.
- Book freight, liaise with carriers, track consignments, and resolve delivery issues while minimising cost.
- Proactively communicate order updates, delivery schedules, and supplier ETA changes to customers.
- Perform precise data entry and validation in our systems; maintain neat records.
- Manage inventory admin and office supplies; keep vehicle and equipment logs current.
- Conduct basic quality control checks and flag issues early.
- Provide friendly, responsive service and work cohesively with a small team.
Must-haves to be considered
- Proven experience in order processing and/or logistics coordination in a small business or SME environment.
- Confident phone and email communication with customers, suppliers, and freight companies.
- High accuracy and attention to detail in data entry and documentation.
- Solid computer skills (Microsoft 365/Google Workspace). Experience with inventory/ERP systems is important; DEAR Inventory/Cin7 experience is a strong plus.
- Able to work on-site, Monday to Friday, 10:00 am – 3:00 pm, at Regency Park.
- Unrestricted Australian work rights.
Nice to have
- Freight booking experience and basic understanding of consignment tracking and PODs.
- Experience in warehousing coordination, furniture, fit-out, or hospitality supply.
- Copilot or other AI experience.

- Orders processed accurately and on time.
- Customers kept informed throughout the order process.
- Freight booked efficiently and tracked through to delivery.
- Supplier and customer enquiries responded to promptly.
- Strong attention to detail with minimal errors.
About you
This role suits someone who enjoys variety and is comfortable managing multiple priorities in a growing small business environment.
We're looking for someone who is organised, proactive, calm under pressure, and enjoys helping customers. You'll be comfortable juggling multiple priorities, solving problems, communicating with suppliers and freight companies, and taking ownership of tasks to completion.
Experience coordinating suppliers, purchase orders, or inventory in a small business environment will be highly regarded.
Salary and benefits
- $30.00–$35.00 per hour + super (pro‑rata of $59–69k FTE), depending on experience.
- Stable school-hours roster, supportive small-team environment, and free on‑site parking.
