Biota Environmental Sciences is a Perth-based environmental consultancy specialising in flora and fauna surveys and environmental impact assessment for a broad range of industry and government clients.
We are looking for an organised, capable and proactive Administration Coordinator to join our team and play a central role in the day-to-day running of our office. This is a varied, hands-on position suited to someone who genuinely enjoys supporting others, keeping things organised and making sure the practical details are taken care of. You’ll be the primary point of contact for many day-to-day office matters and provide important administrative and logistical support across the business.
We’re looking for someone who takes ownership of their work, uses good judgement and is comfortable identifying what needs to be done and following it through.
What you’ll be doing
Your responsibilities will include:
- managing front-of-house activities, including incoming phone calls, visitors, couriers and general enquiries;
- providing responsive day-to-day administrative support to staff and managers;
- coordinating travel, accommodation and other routine logistics for project fieldwork;
- supporting project mobilisation requirements, including site access administration and maintaining associated documentation;
- assisting with meeting coordination, correspondence, document preparation and general administrative tasks;
- liaising with our sister company, Helix Molecular Solutions;
- maintaining office presentation and ensuring shared areas are well presented and office and kitchen supplies are well managed;
- coordinating office suppliers,
services and routine maintenance requirements;
- assisting with staff onboarding and employee administration;
- maintaining administrative registers and records, including training, certification and other compliance information;
- following up routine training, induction and compliance documentation with staff as required;
- entering and checking information accurately across spreadsheets, registers and business systems;
- preparing and formatting professional documents using Microsoft Word, Excel and Outlook;
- liaising with project managers, Finance and the Health & Safety Advisor as required; and
- identifying routine administrative matters that require attention and taking responsibility for seeing them through to completion.
About you

- has strong attention to detail and a reliable approach to following tasks through;
- communicates confidently and professionally;
- uses good judgement and knows when to act independently or seek guidance;
- is confident using Microsoft Office,
particularly Word, Excel and Outlook, and comfortable working with spreadsheets, registers and business systems;
- is comfortable learning new systems, online portals and administrative processes;
- can coordinate information and requirements across multiple people and priorities; and
- brings a friendly, positive and professional approach to a busy office environment.
Previous experience in office administration, coordination or a similar role is essential. Experience with project-based work, travel coordination, inductions, training records, compliance administration or client access systems would be advantageous.
The practical stuff
This is a full-time, office-based position of 38 hours per week, located in West Perth. As the role is responsible for front-of-house and day-to-day office support, regular attendance during Biota’s normal operating hours is essential, and working from home is not available. On-site staff parking is limited; however, the office is conveniently located and well serviced by public transport. We envisage a start time between 8:00 am and 9:00 am, with the final working hours to be agreed with the successful candidate.
