Australian Temporary Structures (ATS) is looking for a highly organised and proactive Project & Office Administrator to join our team in Braemar.
n
This is a hands-on office administration role supporting our Projects and Operations team across a diverse range of construction projects throughout Australia.
n
Our projects range from industrial buildings and warehouses through to sporting facilities, automotive showrooms, aviation hangars, temporary terminals and large-scale modular structures.
n
There is always something happening at ATS, so we're looking for someone who enjoys being busy, keeping things organised and making sure the details don't get missed.
n
The Role
n
This isn't a Project Manager or Operations Manager position.
n
Instead, you'll be the person helping our project team stay organised behind the scenes, following up information, maintaining documentation, updating systems and making sure the administrative side of our projects keeps moving.
n
You'll work closely with our Projects and Operations team and have exposure to projects from the early planning stages through to installation and completion.
n
Your day could involve following up a consultant for a drawing, requesting a supplier proposal, updating Monday.com, preparing project documentation, organising Dropbox folders or checking what information is still outstanding for an upcoming installation.
n
Your responsibilities will include:
n
n
- Requesting fee proposals, quotes and information from suppliers, consultants and subcontractors
n
- Following up outstanding proposals, drawings and project documentation
n
- Assisting with purchase orders and supplier documentation
n
- Collating and preparing project documentation
n
- Setting up and maintaining project folders
n
- Filing,
naming and organising documentation within Dropbox
n
- Updating project information, tasks and actions within Monday.com
n
- Maintaining spreadsheets, registers and internal records
n
- Monitoring outstanding documentation and following up the relevant people
n
- Assisting with emails, correspondence and general office administration
n
- Preparing documentation for upcoming projects and installations
n
- Assisting with project packs, handover documentation and close-out records
n
- Keeping the Projects and Operations team updated on outstanding information and actions
n
- Providing general administrative support across the business when required
n
n
About You
n
We're looking for someone who is naturally organised and likes keeping things on track.
n
You don't need to be a construction expert or experienced Project Manager. What matters more is that you're a capable administrator who can manage multiple priorities, follow things through and isn't afraid to pick up the phone when something needs chasing.
n
You'll probably be someone who notices when a document is missing, remembers that a supplier hasn't responded and enjoys bringing some order to a busy working environment.
n
You'll have:
n

- Robust administration and organisational skills
n
- Excellent attention to detail
n
- Good written and verbal communication skills
n
- Confidence communicating with suppliers, consultants and internal team members
n
- The ability to follow up outstanding information without needing to be reminded
n
- Good computer skills, including Microsoft Outlook, Word and Excel
n
- The ability to manage multiple tasks and changing priorities
n
- A practical, proactive approach to getting things done
n
n
Experience using Monday.com, Dropbox or other project management/document management systems would be an advantage, but isn't essential.
n
Experience within construction, engineering, architecture, trades or another project-based environment.
n
