Job Description
An exciting opportunity is available for an experienced Project Administrator to join a busy Capital Projects team in Wahgunyah.
n
This is initially a 3-day-per-week casual opportunity, with the potential to increase to 5 days per week as project activity and workload increases.
n
You will provide administrative, procurement, financial and compliance support across a range of capital projects, working closely with Project Managers, Project Engineers, contractors, suppliers and site stakeholders.
n
About The Role
n
In this varied role, you will be responsible for keeping project administration, purchasing, documentation and financial processes running smoothly.
n
Key Responsibilities Will Include
n
n
- Providing day-to-day administrative support to the Capital Projects team.
n
- Creating, processing and tracking purchase requisitions and purchase orders.
n
- Coordinating with suppliers and internal stakeholders regarding pricing, cost codes and delivery requirements.
n
- Completing goods receipting and supporting invoice processing and follow-up.
n
- Maintaining project expenditure trackers, commitment logs and financial records.
n
- Assisting with monthly project financial reporting.
n
- Maintaining project registers, action logs, documentation and reporting templates.
n
- Coordinating contractor onboarding, inductions, site access and compliance documentation.
n
- Monitoring contractor insurance and following up outstanding documentation.Assisting with meetings, agendas, minutes and project reporting packs.
n
- Supporting project close-out activities and ensuring documentation is complete and up to date.
n

About You
n
We are looking for someone who is organised, proactive and enjoys working in a busy project environment.
n
You Will Ideally Have
n
n
- Previous experience in project administration, procurement, finance, engineering or construction administration.
n
- Strong organisational and time-management skills.
n
- Excellent attention to detail.
n
- Experience with purchase orders, requisitions, invoicing or goods receipting.
n
- Strong communication skills and confidence following up with stakeholders, suppliers and contractors.
n
- Excellent Microsoft Office skills, particularly Excel, Word and Outlook.
n
- Experience with systems such as SAP, Ariba, Coupa, SharePoint, Teams or Power BI will be highly regarded.
n
- The ability to manage multiple priorities and work independently.
n
- A reliable, professional and proactive approach.
n

- $38-$57 per hour + super, depending on experience.
