Responsible for the end-to-end administration of service operations across Oceania, ensuring the efficient coordination of customer requests, work orders, quotations, invoicing, parts logistics, and supplier management activities.
A key focus of the role is supporting Customer Support Engineers (CSEs) in the field by preparing and managing customer quotations, following up opportunities, coordinating parts and service requirements, and handling administrative tasks that allow engineers to maximize their time with customers.
The role acts as a central link between customers, service engineers, sales teams, suppliers, and internal stakeholders, helping to deliver a seamless customer experience and achieve service delivery objectives.
Key responsibilities include maintaining data integrity across business systems, managing procurement and order processes, coordinating imports, customs and compliance documentation, overseeing returns and credits, and providing backup support for contract and consumable sales functions as required.
Key Responsibilities
1. Administrative support of the service team in the day-to-day operation
2. Create, process, log, schedule and track service orders whilst liaising with the customer and engineers
3. Scheduling with service engineers and customers. Monitoring of service calls and maintenance contracts.
4. Maintenance of customer, plant, equipment, within CRM/SAP.
5. Monitoring of service parts, warranty and service data.
6. Prepare, manage and follow up billable quotes including service sales promotions,
7. Work with service engineers to create quotes appropriate to individual customers
8. Support Engineer Ordering and Coordination of spare parts as well as material tracking.
9.
Invoicing for service orders and contracts including uploading to third party platforms where applicable
10. Third party platform management ie onboarding and uploading relevant insurance etc
11. Telephone and written communication with customers, suppliers, internal stakeholders and engineers
12. Processing of complaints, returns and credits and support in finding solutions
13. Logistics management including liaising with appropriate transport companies, permits, customs clearance etc
14. Creation of evaluations, statistics and key service reports.
15. Collaborate with sales, logistics, accounts receivable and technology team.
Work Experience:
- Customer facing experience in a technical based industry
- Robust relationship building and organizational skills
- Experienced working with customer relationship management software systems. SFDC and Service Max an advantage not a must.
- Trained or capable of being trained in use of SAP. A high level of computer literacy essential with MS Office.
- Ability to work effectively within a team and as an individual.
- A sound knowledge of industry expectations and customer service admin supporting field service engineers.
- Experience working in a similar role with a service team would be highly welcome.
- Location, Open - QLD, NSW or Victoria. Remote work.
