ABOUT THE ROLE
Are you happiest being the person everyone relies on? With around 70% focused on administration and business operations, you'll be the heartbeat of this busy office - keeping people, priorities and projects moving. You'll also bring a creative eye to marketing and Canva, embrace new technology and provide recruitment support. Intuitive, proactive and one step ahead, you'll quickly become the Director and team's trusted go-to.
DUTIES
- Own day-to-day administration and business operations, keeping the office organised and running seamlessly
- Anticipate what's coming next, proactively solve problems and follow actions through to completion
- Support the Director across diary, inbox, meetings, travel, reminders and competing priorities
- Create engaging content for LinkedIn, newsletters, job advertisements and the website
- Design polished Canva collateral, proposals, presentations, testimonials and branded templates
- Embrace new technology and systems, quickly learning platforms and identifying smarter ways of working
- Improve processes, templates and workflows to drive efficiency and consistency
- Coordinate meetings and planning sessions, including agendas, Teams links, notes and action tracking
- Manage SharePoint folders, business records, subscriptions, suppliers,
facilities and office systems
- Support invoicing and finance administration, working closely with the bookkeeper and suppliers
- Coordinate recruitment administration including job postings, interviews, references, surveys and candidate records
- Respond to client and candidate enquiries with warmth, professionalism and exceptional follow-through
- Support tenders, RFQs, proposals, agreements and broader business improvement projects
SKILLS & EXPERIENCE
- Strong administration, PA/EA, business operations, HR administration or similar professional services experience
- A natural go-to person who genuinely loves being at the heart of a small, busy team
- Proactive and intuitive - you notice what needs doing and act before someone has to ask
- Highly organised, with a natural ability to keep people, priorities and deadlines on track
- Digitally confident and genuinely curious about new technology, systems and smarter ways of working
- Solid Microsoft 365 capability, ideally including Outlook, Teams, OneDrive and SharePoint
- Creative confidence in Canva, with an eye for producing polished, engaging and on-brand collateral
- Excellent document formatting skills and strong attention to presentation and detail
- Strong written communication skills and confidence creating professional content
- Warm, energetic and confident when communicating with clients, candidates, suppliers and colleagues
- Recruitment or HR administration exposure is advantageous,
but broader administration and business operations capability is key
- Practical and adaptable, with a genuine willingness to roll up your sleeves and help wherever needed
