If you are an accomplished and detail-oriented Event Coordinator who loves assisting with the planning, organisation, delivery and administration of events, this is your opportunity.
The Cruising Yacht Club of Australia (CYCA) is a vibrant waterfront destination on Sydney Harbour, home to the legendary Rolex Sydney Hobart Yacht Race and one of the world's premier ocean racing institutions. As Events Coordinator, you will uphold the Club's traditions of excellence while bringing fresh perspective to member and guest experiences.
The Prospect
Reporting to the Operations Manager, Event Sales | Food & Beverage, you will play a hands-on role at the heart of CYCA's events and food and beverage activities. You'll own the customer journey by assisting in planning and execution of events ensuring seamless service delivery.
This role is built for someone who enjoys being the primary point of contact for members and guests throughout the event planning process, has exceptional interpersonal skills and a polished, skilled manner.
Key Responsibilities
- Coordinate and oversee all stages of events, including planning, setup (bump-in), execution, and pack-down.
- Act as the main point of contact for clients, ensuring a seamless and high-quality event experience.
- Liaise with external suppliers, contractors, and internal teams to deliver events to specification.
- Manage audio-visual requirements and coordinate with technical providers as needed.
- Support client engagement through site inspections, venue tours, and ongoing communication.
- Maintain accurate and timely completion of all administrative and event documentation.
- Deliver exceptional customer service, fostering strong relationships with clients, members, and guests.
- Ensure effective communication between front-of-house and kitchen teams during service.
- Monitor event staff performance and contribute to a positive, efficient team environment.
- Ensure compliance with RSA regulations, health and safety standards, and relevant legislation.
- Assist with financial processes including POS reconciliation, reporting, and budget awareness.
- Maintain high standards of venue presentation, cleanliness, and operational readiness.
- Support daily reporting, incident management, and venue security procedures.
What You'll Bring
Essential:
- At least 2 years of experience in a hospitality coordinator role, including hands-on experience in events, bar, pub, restaurant or hospitality setting.
- Experience and competence in using POS and Rostering systems.
- Experience and competence in managing stock levels, supervising staff and preparing daily summaries.
- Excellent customer service.
- Excellent oral and written communication skills.
- Excellent organisational skills and ability to meet deadlines.
- Availability to work evenings and weekends in line with the Club's event schedule.
- RSA.
- NSW Food Handlers Certificate.
Desirable:
- Experience with event management software (Tripleseat).
- Advanced First Aid Certificate.
