Function : Project Support Officer

Providing administration support to project delivery team.

Duties include by not limited to:

· Maintain critical project records, including creating & maintaining site-based registers.

· Providing administrative support to the Project team with completing data entry, assisting in validation of claims and processing payments.

· Assist with coordinating project reports and meetings, including preparing agendas, documentation and taking minutes.

· Ensure documents are correctly named, filed, version-controlled and easily accessible to the project team.

· Update registers regularly and follow up with team members when information is missing or requires clarification.

· Monitor document expiry dates,



approvals, inspections, permits or other project requirements where applicable.

· Assist with document control and ensure project records comply with organisational procedures.

· Maintain electronic filing systems and databases and ensure information is entered accurately.

· Provide Business support to the project team and organising acquisition of any assets (eg. IT, PPE, stationery).

Other duties as assigned by the Project Director and Project Manager(s)

· Previous experience in project support (construction)

· Experience using an electronic document management system

· Meeting management including agenda preparation, meeting minutes in a government setting, calendar invites
