About the Team

Two opportunities available.

The Division of Education & Students is one of UTS's largest and most dynamic divisions, supporting learning, student success and institutional impact across the university. The division encompasses five portfolios - Education, Students, University Library, Social Justice & Inclusion, and Indigenous Leadership & Engagement - alongside the Office of the DVC (Academic), which provides strategic and operational oversight across all five areas.

The division is currently implementing a new operating model and progressing major priorities in curriculum transformation, student equity and wellbeing. The Office of the DVC (Academic) coordinates with a broad range of stakeholders, from central teams to faculties at all levels.

Job purpose

The two Senior Operations Officer roles sit within the Office of the DVC (Academic) and provide direct project and operational support to the divisional leadership team. The work is varied and includes coordinating activities and workflows across the office, preparing written communications, maintaining registers and drafting reports, and supporting the smooth day-to-day running of a busy executive environment.

Working under broad direction, the roles require the ability to manage competing priorities, communicate clearly with a range of stakeholders, apply sound judgement in resolving queries, and maintain accuracy and discretion across all aspects of the work.

Role responsibilities

•Coordinating workflows and administrative priorities across the executive office, managing competing demands from a senior leadership team spanning five portfolios

•Preparing clear, accurate written communications, reports and briefing materials to support divisional activities

•Building and maintaining effective working relationships across the division, with central university teams, and with external stakeholders

•Identifying and resolving operational and administrative queries as they arise, escalating to the appropriate person where advice or decisions are required

•Maintaining divisional information, records and document management using platforms such as SharePoint and Microsoft 365, and actively using AI tools to improve efficiency

•Handling sensitive and confidential matters with discretion, understanding when to act independently and when to refer matters appropriately

•Providing support to committees and working groups by preparing agendas and papers, taking minutes, following up on actions, communicating outcomes, and liaising with members





•Providing project support to the office of the DVC (Academic) and across the Division to ensure projects align with operational and strategic goals.

Skills, attributes and knowledge

You are organised and comfortable managing a varied workload without losing accuracy or attention to detail. You write clearly and can tailor communications to different purposes and audiences. You are reliable and thorough, and you understand the importance of discretion in an executive office environment.

You are comfortable with digital tools and take a practical interest in using technology including AI tools like Microsoft Copilot to work efficiently and keep information well-managed.

You will also bring:

1.Strong organisational and planning skills, with the ability to prioritise workloads, work under pressure and remain flexible to changing priorities

2.High-level written and interpersonal communication skills, with the ability to communicate effectively within a complex academic and professional setting

3.A professional manner with a robust service orientation and the ability to build positive working relationships with a range of internal and external stakeholders

4.Sound problem-solving skills and the ability to support compliance activities, applying university policies and guidelines, and escalating issues appropriately

5.Proficiency in Microsoft 365 (Word, Excel, Outlook, SharePoint); experience with or a genuine interest in AI-enabled tools such as Microsoft Copilot

6.Broad knowledge of university administration, policy and procedures, or the demonstrated ability to quickly learn and apply relevant institutional requirements.

Experience

•Demonstrated experience in a project, administrative or operational support role in a large, complex organisation

•A track record of producing clear written correspondence, papers and reports for a range of purposes and audiences

•Demonstrated ability to build effective working relationships with a diverse range of stakeholders

•Experience developing, maintaining or improving administrative systems, records or document management processes

•Proficiency in Microsoft 365 tools and the capacity to learn new systems quickly

•Experience in the higher education sector or a similarly large, regulated environment is highly regarded

Qualifications

Degree level qualification or an equivalent combination of experience and training.

What We Offer

Base Salary Range: $101,262.00 - $109,641.00 (HEW6) plus 17% superannuation (pension)

The position is full time and will be made on a continuing basis.
