We are looking for an organised and detail-focused Invoice Administrator to support our service operations team.
n
This is a hands‐on role where you'll be working closely with Service, Operations, and Finance teams to ensure jobs are accurately invoiced, scheduled, and maintained in the system.
n
You'll play a key role in keeping our service delivery running smoothly from job setup through to invoicing and reporting.
n
What You'll Be Doing
n
n
- Daily invoicing of completed service jobs (labour & materials)
n
- Coordinating service jobs with technicians and Team Leaders
n
- Scheduling planned maintenance (PPM) activities with clients
n
- Setting up contracts, sites, and assets in Pronto
n
- Maintaining service database and job records
n
- Raising purchase orders and updating job information
n
- Entering service calls and creating new jobs
n
- Preparing reports and supporting exception tracking
n
- Supporting timesheet entry and general admin tasks
n
- Liaising with Accounts Receivable on remittances
n
n
What You Bring
n
n
- Strong admin and coordination experience (service-based business preferred)
n
- High attention to detail asaccuracy is critical in this role
n
- Ability to manage multiple tasks and meet deadlines
n
- Confident communication skills (internal & external stakeholders)
n
- Intermediate Excel and MS Office skills
n
- Ability to work both independently and as part of a team
n
n
Nice to Have
n
n
- Experience with systems likePronto, Uptick, Corrigo
n
- Background in service, maintenance, or trades environment
n
