Location: This role will primarily be based within Public Space Operations, with adaptable working arrangements considered.

We are looking for a detail focused Contracts Officer who can support day to day contract activities, contractor follow up, reporting, records and service outcomes.
Public Space Operations, through its Contracts Management function, delivers a wide range of contract-based services across the city, supporting clean, safe and well-maintained public spaces.
The Role
As a Contracts Officer, you will deliver day to day contract support within an allocated Contracts Management work stream.
You may be assigned to support one of the key streams within the team, including Planning and Analytics, Delivery and Performance, Governance, or Customer and Stakeholder activities. Allocation to a stream may change over time based on operational priorities, service needs and the requirements of the broader Contracts Management function.
You will complete defined contract administration and coordination tasks, maintain accurate records and evidence, support contractor management through routine follow up, and contribute to safe, compliant and reliable service outcomes across the team’s Plan, Do, Check, Act operating model.
In this role, you will:
- Complete defined contract administration and coordination tasks to approved procedures, standards and timeframes.
- Maintain accurate records, evidence and registers so information is current, traceable and suitable for reporting, assurance and decision making.
- Support contractor management through routine coordination and follow up, including clarifying requirements, tracking actions, maintaining performance or issue records, and escalating non-compliance or risks through agreed pathways.
- Support contract activities and follow up so delivery requirements, performance actions, compliance checks and close out activities are progressed in line with approved methods and timeframes.
- Support the preparation and maintenance of schedules, job briefs, estimates, costings, expenditure information and routine reporting required for contract management outcomes.
- Support procure to pay administration and financial controls by coordinating invoice, purchase order, receipting or payment related information as required, and escalating exceptions through agreed processes.
- Prepare routine updates, summaries and supporting information for reports, including dashboards, progress updates, exceptions and items requiring escalation.
- Support customer and stakeholder matters linked to contract services, including enquiries, complaints, event support and operational updates.
- Support RFx activity where required, including documentation inputs, evidence collation, evaluation support, mobilisation, transition and close out activities, in line with approved methods and probity requirements.
- Contribute to continuous improvement by suggesting practical changes to templates, checklists, work instructions and reporting methods.
To be successful, you will bring:
- Demonstrated experience delivering defined contract support tasks to approved procedures and timeframes with strong accuracy and attention to detail.
- Demonstrated experience supporting contractor management through routine follow up, recording commitments, maintaining performance or issue logs, and escalating risks or non-compliance through agreed pathways.
- Proven ability to support contract performance activities, including tracking service levels, identifying exceptions, supporting rectification follow up and contributing to close out documentation.
- Demonstrated ability to maintain accurate records, evidence and registers to support reporting, assurance and audit readiness.
- Demonstrated systems and data skills, including dashboard, spreadsheets and routine checks or reconciliations,
with a focus on data quality and completeness.
- Clear written and verbal communication skills, including preparing concise updates and accurately capturing actions and outcomes for escalation.
- Commitment to safety and compliance, including identifying risks, following procedures and escalating concerns promptly.
While not mandatory, experience supporting procure to pay tasks, reporting and dashboard activity, RFx documentation, evidence collation or evaluation support will be highly regarded.
