A well established Brisbane construction business with a strong pipeline and real plans for growth are looking for an experienced Executive & Operations Assistant to become the Managing Director's trusted right hand, and a steady set of hands across the wider business.
This isn't a diary-and-meeting-rooms EA role. You'll sit close to leadership and the project teams, keeping priorities visible, actions moving and the day-to-day running of the business in good order. When something is agreed in a meeting, you're the reason it actually happens.
For the right person, this becomes far more than a support role. There's genuine scope to grow with the business as it evolves.
What you'll do
Managing the Managing Director's diary, meetings, communications and key business commitments
Driving actions and follow-ups out of meetings, chasing outstanding information and making sure agreed priorities don't quietly drop off the radar
Supporting project and operational leaders with administration, reporting, coordination and the day-to-day needs of a busy business
Preparing reports, presentations and business documentation, and keeping registers, records and systems accurate and current
Coordinating onboarding, training and general employee administration
Liaising with clients, consultants, subcontractors, suppliers and other key stakeholders
Spotting better ways to run administrative systems, processes and the flow of information across the business
What you bring
5+ years' experience in an Executive Assistant, Personal Assistant, Operations Administrator or similar senior support role
Reliable organisational ability and the composure to juggle competing priorities without dropping any
A proactive streak. You don't just record an action, you see it through
Confident communication and the ability to build genuine relationships across leadership, site teams and external stakeholders
Sharp attention to detail and real pride in producing accurate, professional work
Discretion, and sound judgement with confidential business and employee information
Strong Microsoft Office skills and general systems confidence
A practical, resourceful approach and a willingness to roll your sleeves up when something needs doing
Experience in construction, property, engineering or another project-based environment will be highly regarded
