Position Purpose:
The Administration & Compliance Officer supports daily administration and reception functions while assisting in maintaining compliance systems at Purple Support.
This role ensures smooth front-line operations, accurate documentation, and supports compliance processes aligned with NDIS Practice Standards.
Key Responsibilities:
1. Administration & Reception Support
• Manage front desk, phone, and email enquiries in a professional and timely manner
• Coordinate appointments, meetings, and schedules
• Maintain effective communication with participants, families, and stakeholders
2. Operations Support
• Provide administrative support to the Service Delivery Team
• Assist with rostering coordination and related documentation
• Maintain accurate participant and staff records
3. Compliance Support (Non-Decision Making)
• Maintain compliance registers, incident logs, and documentation
• Assist with audit preparation and evidence collection
• Monitor document currency (policies, training, clearances)
• Escalate compliance risks to management
4. Records & Documentation
• Ensure accurate, secure, and up-to-date record keeping
• Maintain confidentiality and privacy compliance
• Support onboarding documentation and compliance checks
5. Meetings & Coordination
• Schedule meetings and prepare agendas
• Take minutes and track action items
• Follow up on outstanding actions
6. Continuous Improvement Support
• Assist in maintaining the Compliance and Continuous Improvement Register
• Record feedback, incidents, and improvement actions
7. Asset & Property Management
• Maintain an up-to-date register of organisational assets, equipment, and property
• Monitor asset allocation, usage, and condition across sites
• Coordinate basic property maintenance requests and liaise with relevant stakeholders (e.g., landlords, contractors)
• Ensure equipment and property are compliant with safety and operational standards
• Support inventory tracking, stock control, and replacement planning
• Report any damages, risks, or maintenance issues to management in a timely manne
Required Skills & Experience:
We're seeking individuals who have:
1. Advanced computer skills (Essential):
-Apple Mac workplace (macOS)
- Microsoft Office Suite (Word, Excel, Outlook, Teams)
- SharePoint and cloud-based document management systems
- Document control and version management
- Folder structure organisation
- Professional document formatting
- Ability to work with and adapt to cloud-based platforms
2. Excellent phone handling and customer service skills:
- Professional, calm, and confident communication
- Ability to manage difficult or emotional conversations
- Strong listening skills and clear information delivery
- Ability to triage calls and escalate appropriately
3. Excellent teamwork and collaboration skills:
- Ability to work effectively within multidisciplinary teams
- Service Delivery, HR, and Operations teams collaboratively
- Positive attitude and willingness to assist others
- Ability to receive feedback and contribute to team improvements
4. Basic understanding of NDIS environment (desirable)
5. Strong organisational and communication skills
6. Ability to manage multiple priorities in a fast-paced environment
7. High attention to detail
8. Diploma in Business Administration or a related field (or equivalent demonstrated experience in administration, operations, or coordination roles)
9. Minimum 1-2 years of relevant administration experience required
10. Applicants must have legal working rights in Australia
11. Successful candidates must undergo both national police check and working with vulnerable people check as part of pre-employment screening requirements.
