About the role

Enhance Abilities is looking for a capable, kind and highly organised person to support the Director and team across administration, client coordination and bookkeeping. This is a wide-ranging role for someone who enjoys making systems work, following the detail through and helping people feel welcomed and informed. You will be a trusted point of connection between the Director, practitioners, individuals, families and external stakeholders. One moment you may be preparing a service agreement or creating a client case in Splose; the next you may be monitoring an NDIS budget, reconciling payments in Xero, coordinating appointments or helping the Director stay ahead of key actions.

Key responsibilities

- Providing confidential day-to-day assistance to the Director.
- Responding to calls and emails and creating a warm, accessible first experience of Enhance Abilities.
- Supporting referrals, intake, appointments, client cases and digital records.
- Preparing, issuing and monitoring NDIS service agreements.
- Creating and maintaining client cases, plan information, services and workflows in Splose.
- Creating and monitoring client budgets, funding use, plan dates and service delivery risks.
- Raising invoices, reconciling payments, monitoring accounts and supporting bookkeeping through Xero.
- Following up rejected or overdue payments and keeping clear supporting records.
- Helping the team meet administrative, audit, compliance and reporting deadlines.

- Working confidently within NDIS Provider Portals and supporting accurate provider administration and claiming workflows.

About you

- Genuinely warm with people and quietly excellent with details.
- Confident with Xero, digital systems and accurate data entry.
- Able to manage multiple priorities without losing sight of follow-up.
- Comfortable working with confidential client, employee and financial information.
- A clear communicator who knows when to act and when to ask.
- Interested in the NDIS, allied health and ability-affirming practice.
- Knowledgeable about NDIS Quality and Safeguards compliance and Work Health and Safety responsibilities.
- Experienced in working respectfully with people from diverse backgrounds, abilities and skill sets, across both service provision and workplace teams.
- Someone who values quality over quantity and wants their work to have a practical, positive impact.
- Someone seeking a genuine long-term role who wants to become a trusted and consistent part of the Enhance Abilities team.
