Job Description
About the Role: Administration Manager
n
We are seeking an experienced and organised Administration Manager to join our Childcare Centre team. Reporting to the Director of Childcare, you will provide professional administrative leadership for the Centre — overseeing enrolments, occupancy, customer service, records, compliance, financial administration and family communications. This is a hands‐on, people‐focused role for someone who thrives on keeping a busy centre running smoothly.

Administration & Compliance
n
n
- First point of contact for families, visitors and enquiries
n
- Maintain accurate, confidential records in line with the Education and Care Services National Law and Regulations
n
- Support staff rosters, compliance documentation, audits and Quality Improvement Plan (QIP) reviews
n
- Maintain Working with Children Check, First Aid and other mandatory compliance records
n
- Coordinate incident, injury and medication documentation
n
n
Enrolments, Occupancy & Family Engagement
n
n
- Manage enrolments, waitlists, orientations and room transitions
n
- Coordinate family tours, open days and centre communications
n
- Monitor occupancy levels and provide weekly reporting to the Centre Director
n
- Build positive family relationships and respond to enquiries with care
n
- Process fee invoicing, receipting and follow‐up on outstanding accounts
n
- Administer and reconcile Child Care Subsidy (CCS) claims via CCSS
n
- Reconcile daily takings, EFTPOS and petty cash; support payroll and budgeting
n
n
Operational Support
n
n
- Maintain a welcoming, professional reception area
n
- Assist with onboarding, induction and liaison across College departments
n
n
The successful candidate will have:
n
n
- Solid administration and organisational skills, with excellent customer service and communication abilities
n
- Experience managing confidential information and compliance processes
n
- Prior experience in the childcare, education or not‐for‐profit sector
n
- Familiarity with the Child Care Subsidy (CCS) system and childcare management software
n
- Certificate IV or Diploma in Business Administration, Accounting or a related field
n
- Understanding of the National Quality Framework (NQF) and Education and Care Services National Law
n
- Current HLTAID012 Provide First Aid in an education and care setting
n
- Current Working With Children Check
n
n
