Administration Executive
Brisbane | Permanent Full-Time | Office-Based
- Varied administration role within an established automotive business

- $65,000–$70,000 package, including superannuation
About the Role An exciting opportunity has become available for an experienced Administration Executive to join an established automotive business. This is a wide-ranging, hands-on role supporting sales administration, office operations, customer service, travel bookings and internal reporting. You will also work closely with the Accounts Payable and Accounts Receivable teams, providing accurate information and assisting with claims, invoices, credits and reconciliations.
The position would suit a highly organised administrator who enjoys variety, is confident speaking with customers and dealers, and can manage several priorities within a busy office environment.
Key Responsibilities
- Provide general administrative support across the business.
- Answer and direct incoming calls and welcome office visitors.
- Respond to customer and dealer enquiries and escalate complaints when required.
- Maintain accurate sales, warranty, registration and compliance records.
- Follow up dealers for missing documents, information or corrections.
- Prepare and upload compliance and roadside-assistance files.
- Assist with daily, weekly and monthly reports.
- Maintain customer and dealer information within internal systems.
- Check claim forms and submit them for approval and processing.
- Work closely with the Accounts Receivable team to provide claim information and reconcile administrative credits.
- Support the Accounts Payable team by updating freight invoice records and resolving invoice queries.
- Liaise with AP and AR to ensure financial information and supporting documents are accurate and complete.
- Coordinate domestic and international travel, accommodation and related arrangements.
- Maintain travel records and prepare invitation and visa-support letters.
- Order office, kitchen and postal supplies.
- Coordinate meeting-room catering, staff celebrations and office events.
- Manage incoming and outgoing mail and attend the post office when required.
- Liaise with suppliers and service providers regarding office maintenance and repairs.
- Prepare and distribute internal communications and staff notices.
Skills & Experience
- At least four to five years of experience in a similar administration, sales support or office coordination role.
- Previous experience working closely with Accounts Payable and Accounts Receivable teams.
- Strong Excel skills, including formulas and working with large spreadsheets.
- Excellent verbal and written communication skills.
- Confidence communicating with customers, dealers, employees, suppliers and service providers.
- Experience managing reception calls, office visitors and customer escalations.
- Strong attention to detail and accurate data-entry skills.
- Excellent organisation and time-management skills.
- Ability to manage competing priorities and meet reporting deadlines.
- A proactive and helpful approach, with the ability to support multiple departments.
- Experience within automotive, dealership, distribution or a similar environment would be advantageous.
