About the role
We're looking for a highly organised, detail-driven administrator to take ownership of the coordination and delivery of our veterinary training courses, held at venues across Australia and New Zealand.
This is not a traditional hospitality-style event role — you won't be laying out tables or managing on-site catering, and you won't be on your feet meeting people at a venue. This is a behind-the-scenes logistics and coordination role, run entirely from home, managing the full lifecycle of our training events for up to hundreds of course delegates (veterinary professionals) each year. It reports to the Senior Administration Manager.
We've been running these programs for over 15 years, with well-established systems and documentation behind them. Precision matters.
What you'll be doing:
- Coordinating logistics for two flagship programs: a 4-day residential course and a longer-form course delivered over three years and other bespoke events
- Managing direct relationships with hotel event teams across multiple states, including rate negotiation
- Handling constant last-minute changes — delegates cancelling or rescheduling due to clinical emergencies — and reshuffling attendees across events and locations at short notice
- Maintaining the master delegate list and accurate event and vendor records in our systems (LMS and event platforms)
- Producing event summaries and tracking delegate progress, including who requires makeup programs
- Coordinating the booking and dispatch of textbooks and course materials
- Printing and dispatching resources for all events
- Acting as the key point of contact for delegates regarding their event attendance
What we're looking for:
- Proven experience in event coordination, logistics, or administration — ideally where you managed multiple moving events/bookings simultaneously, not a single-venue role
- Solid negotiation skills, particularly with hotel/venue partners
- Exceptional attention to detail and organisational skills
- Calm under constant last-minute change, with the ability to manage many moving pieces at once
- Full-time availability with capacity for daily contact and quick turnaround
- A dedicated, distraction-free home working environment, including appropriate care arrangements in place during work hours (this is not a role that can be managed alongside active childcare)
Salary & benefits:
- $55,000–$72,000 per annum (depending on experience), plus 12% superannuation
- Scope for progression to the next salary band as the role grows in seniority or the business expands
