Purpose of the Role The Operations Manager/Director is responsible for the day-to-day operational, administrative and compliance functions of the Sydney office, and provides operational support to the National Association in partnership with the Global COO, National Chairperson and National Board. The role ensures the firm runs efficiently, compliantly and cohesively across its jurisdictions, and works directly with the Marketing & Communications Manager/ Director and Global COO to align operational delivery with the firm's broader strategic and marketing plans.
The role also focuses on streamlining operations globally, driving greater efficiency, consistency and best practice across Hall Chadwick's offices as the firm continues to grow, including identifying opportunities to standardise processes and systems across jurisdictions. It also plays an active part in supporting cross-selling of services across the network, helping Partners and offices connect clients with the firm's broader capabilities to grow business across jurisdictions.
Key Responsibilities
Administration
- Administer accounts and personnel matters for the Sydney office; oversee administrative staff and core office functions including reception.
- Ensure all staff timesheets are entered correctly and on time; monitor and report on productivity levels not being met.
- Support management, administrative/office support staff as required.
Governance, Compliance & Reporting
- Attend Insolvency and Accounting monthly management meetings and Partners meetings, representing operational matters and following up on actions arising.
- Prepare and consolidate monthly reporting across global offices, providing the Global COO and National Board with visibility of operational and financial performance.
- Reconcile Partners' ledgers on a monthly basis, ensuring accuracy and resolving discrepancies in a timely manner.
- Oversee cash collections across the firm, working with Partners to monitor outstanding balances and support timely recovery of fees.
- Monitor cashflow receipts from Partners; check that Insolvency and Accounting Partners are chasing, collecting and reconciling fees.
- Coordinate ASIC annual review filings and ensure minutes and corporate records are appropriately filed and signed off, in partnership with the Sydney Corporate Secretarial function.
- Review and update office protocol, ensuring sign-off from employees and Partners.
- Supporting Global COO in global strategy implementation.
Cross-Jurisdictional & Association Coordination
- Administer requirements across all jurisdictions and liaise with counterpart operations contacts in other Hall Chadwick offices, including Hong Kong, Current York and the UK, on shared administrative requirements.
- Liaise with HC Melbourne and the PrimeGlobal / National Association on operational matters.
IT, Insurance & Office Management
- Liaise with IT on systems, equipment and monitor laptops/IT products across the office.
- Manage IT systems follow up and reporting
- Manage the firm's insurance renewals,
including Professional Indemnity, Public Liability and Workers Compensation.
- Manage office requirements including lease terms, rent reviews and related changes.
Strategic & Business Support
- Support integration of the marketing plan into operational delivery and assist Partners to meet and monitor marketing plan targets, in conjunction with the Marketing & Communications Manager/ Director.
- Monitor delivery of the office plan and liaise with relevant stakeholders to validate and understand business results.
- Monitor Partner bonus arrangements and report regularly to the Global COO and National Chairperson.
About You
- 7+ years experience in business operations
- Strong problem-solving skills and a proactive, solutions-focused mindset, with the ability to stay calm and effective under pressure and manage competing priorities.
- Flexible and adaptable, with a willingness to take on tasks outside the immediate scope of the role as the needs of the firm evolve.
- A self-starter comfortable operating with a high degree of autonomy, and able to establish processes and structures where they don't already exist, rather than relying on extensive existing infrastructure or support.
- Significant experience in operations, office management or business management within a professional services environment
- Willingness and availability to work flexibly, including outside standard hours, to accommodate time zone differences across global offices and to meet demands during peak periods.
- Willingness to travel domestically and internationally as required to support national and global events.
- Experience coordinating across multiple offices or jurisdictions.
- High level of discretion, confidentiality and sound judgement.
- Demonstrated experience managing compliance and finance-adjacent processes (e.g. timesheets, productivity reporting, fee collection oversight).
