Are you an experienced events professional with a passion for creating exceptional guest experiences?

We’re seeking a driven Events Executive or experienced Events Coordinator ready to take the next step to join our Sales Team at Q Station. Depending on your experience and capability, you may join us at Events Executive or Events Coordinator level.

This is an exciting opportunity for someone with strong event coordination foundations who is looking to broaden their experience across client relationships, event sales and business development - or for an experienced Events Executive ready to take ownership of the full event journey.

Working with warm inbound enquiries across conferences, special events and social celebrations, you’ll play an important role in bringing events to life at one of Sydney’s most iconic heritage venues.

Your Mission:

- Build strong client relationships and deliver a seamless experience from enquiry through to event delivery.
- Coordinate conferences, special events and celebrations with accuracy, professionalism, and attention to detail.
- Work closely with internal teams to ensure successful event planning and operational handover.
- Support the delivery of memorable guest experiences that reflect Q Station’s unique offering.
- Represent Q Station with confidence by understanding our spaces, services, and experiences.

The Opportunity

Reporting to the Sales Manager, this role supports the conversion, coordination and delivery of group and event enquiries across Q Station.

At Events Executive level, you will take ownership of the full sales and coordination process - managing inbound enquiries, preparing proposals, supporting revenue outcomes and guiding clients from initial enquiry through to operational handover.





At Events Coordinator level, you will focus on delivering exceptional event coordination, supporting client communication, managing event details, and ensuring seamless preparation and handover.

Appointment level will reflect your experience, capability, and career aspirations.

Key Responsibilities

Depending on your experience and level, your responsibilities will include:

- Manage and coordinate conferences, special events, and social celebrations from enquiry through to operational handover.
- Maintain accurate event details, client communication, and documentation throughout the planning process.
- Coordinate with internal departments to ensure successful event delivery.
- Prepare event documentation including proposals, function details, and client communications.
- Conduct site inspections and support clients in understanding Q Station’s unique spaces and experiences.
- Maintain accurate CRM records and ensure event information is current and complete.
- Attend BEO meetings and contribute to internal event planning discussions.
- Support client retention through skilled communication, attention to detail and post-event follow-up.

For Events Executive-level candidates, responsibilities will also include:

- Manage inbound event enquiries and support the sales process from initial enquiry through to confirmation.




- Prepare quotations and contracts covering venue, function, menu and accommodation requirements.
- Identify opportunities to maximise revenue through upselling, tailored event solutions and strategic client conversations.
- Develop and maintain strong client relationships while identifying opportunities to support repeat business and future growth.
- Contribute to sales initiatives and business development opportunities that support revenue targets and broader team objectives.

Essential Criteria

- Proven experience successfully coordinating events, conferences, weddings or functions, with hotel or venue experience highly advantageous.
- Excellent organisational skills with the ability to manage multiple events, competing priorities, and deadlines.
- Strong communication skills with confidence engaging with internal and external stakeholders.
- A genuine passion for hospitality and creating memorable guest experiences.
- High attention to detail and commitment to delivering professional, seamless event outcomes.
- Ability to work collaboratively in a fast-paced environment.
- Current Australian driver’s licence.

For Events Executive-level candidates:

- Proven experience managing event enquiries, proposals, client relationships, and the sales process from enquiry through to confirmation.
- Experience contributing to revenue outcomes through event sales, upselling, client relationship management, or business development opportunities.

For Events Coordinator-level candidates:

- Strong event coordination experience with the desire and capability to progress into a broader sales-focused role.
- A willingness to develop commercial and client relationship skills.
