With an expanding focus of its operations, SECCCA requires an Executive & Team Support Officer to provide executive support to the Chief Executive Officer and administrative coordination across the broader SECCCA team.

ABOUT SECCCA

SECCCA is an alliance of local governments in south east Melbourne. The purpose of the organisation is to support our member councils in delivering climate adaptation and resilience programmes that reduce greenhouse emissions and accelerate the net zero transition. Our vision is for a vibrant, prosperous and climate-safe south east Melbourne.

POSITION OBJECTIVE

SECCCA requires an Executive & Team Support Officer to provide effective and efficient executive support to the Chief Executive Officer and administrative support to the broader SECCCA team. The role combines executive-level support – Executive Committee coordination, diary and email management, and CEO briefing support – with team-wide administration covering meeting coordination across SECCCA’s governance forums, employee support, event logistics and operational workflows.

The incumbent will play a pivotal role in ensuring the smooth functioning of a small, high-performing organisation. Day to day activity will include developing agendas and board packs, minute taking across the Executive Committee,

Mayoral Forum and CEO meetings, calendar management, coordinating HR and employee support processes, and organising events including forums, round tables and team planning days. The role also presents the opportunity to be involved with and support a range of engaging and leading-edge climate change related activities.

KEY SELECTION CRITERIA

- Excellent written, communication and organisational skills with experience in executive administration
- Strong meeting coordination and minute-taking skills across governance and operational forums
- Demonstrated experience in diary and calendar management across a spectrum of stakeholders
- Ability to manage complex administrative projects and competing priorities, including governance cycles and event logistics
- Proficiency in relevant software programs including Microsoft Office suite
- Ability to engage professionally with people in various roles including local government councillors, executives and officers
- Strong organisational and coordination skills with attention to detail

THE DETAILS This is a hybrid role, with regular in-person attendance at meetings and Bunjil Place. Infrequent interstate travel may be required. Applicants should hold a Victorian Driver’s Licence.

This is a part time position, 2–3 days per week (0.4–0.6 FTE).

Applicants are encouraged to apply via Ethical Jobs as soon as possible. SECCCA reserves the right to appoint for the position prior to the closing date.

A position description is available via Ethical Jobs.
