Legal Secretary – $75,000–$88,000 + Super

Perth CBD | Full-time | Permanent | Office Based

About the PracticeWe are a professional services practice based in the Perth CBD providing Notary Public and related document services to clients throughout Australia and overseas.

The practice is currently operated solely by the Director, and we are looking for an experienced Legal Secretary or Legal Assistant to join the practice and play a key role in its day-to-day operation.

You will work directly with the Director and have a high level of responsibility and autonomy within the practice. We are looking for someone experienced, organised and dependable who can work independently, take initiative and take genuine ownership of their work.

What You'll Be Doing

- Managing client matters from opening through to completion
- Acting as a first point of contact for clients and responding to enquiries by email and in person
- Drafting, proofreading, formatting and preparing documents and correspondence
- Preparing and providing fee quotes to clients in accordance with the practice's pricing
- Managing client files and maintaining accurate electronic records
- Preparing documents for lodgement with government agencies
- Personally delivering and collecting documents from government agencies in the Perth CBD
- Monitoring outstanding matters and following up clients, government agencies and other parties where required
- Using the practice's CRM and other systems to manage clients, matters and workflows
- Maintaining and updating client guides, templates and other resources




- Identifying opportunities to improve and streamline processes
- Assisting with other practice-related tasks as required

About YouTo be successful in this role, you will have:
- 2+ years' experience as a Legal Secretary or similar professional services role
- Strong experience managing client files, documents and workflows
- Exceptional attention to detail and accuracy
- Strong organisational skills and the ability to manage multiple tasks and competing priorities
- A demonstrated ability to take ownership of tasks and follow them through to completion
- Confidence communicating directly with clients and explaining processes clearly and professionally
- Strong written and verbal communication skills
- Strong proficiency in Microsoft Word and Outlook, including document formatting
- The ability to learn new systems and processes quickly
- Sound judgement and problem-solving skills
- A proactive approach and the ability to work independently with minimal supervision
- A high level of reliability and follow-through

Experience within a law firm or legal setting will be highly regarded.

Working Arrangements

This is a permanent full-time position of 38 hours per week, Monday to Friday, based in our Perth CBD office. A 7:00 am start is preferred to provide coverage during AEST business hours.

Our work involves the regular handling and processing of documents. As part of the role, you will be responsible for scanning, printing, collating, preparing and dispatching documents, managing incoming and outgoing mail and couriers, and attending government agencies in the Perth CBD to deliver and collect documents. For this reason, this is an in-office position and is not suitable for remote or hybrid working.

Start Date and RequirementsThe start date is flexible.

Applicants must be Australian citizens, permanent residents or hold a valid visa with full and unrestricted working rights in Australia. Proof of work rights will be required as part of the application process.
