Job description

Position Overview

The Business Administration Officer is responsible for providing high-quality business, financial and administrative support to ensure the effective operation of a business unit, directorate or corporate services function. The role supports senior leadership through the coordination of business processes, reporting, stakeholder engagement, financial administration and operational activities.

Working in a fast-paced environment, the Business Administration Officer plays a key role in maintaining effective business systems, supporting organisational initiatives, and contributing to continuous improvement across business operations.

Key ResponsibilitiesBusiness Administration and Operational Support

- Coordinate and deliver effective business and administrative services to support daily operations and organisational objectives.
- Provide high-level administrative support to managers and senior stakeholders.
- Develop, prepare and maintain business reports, dashboards, spreadsheets and operational documentation.
- Coordinate business planning activities and support the delivery of strategic and operational initiatives.
- Manage business records, files, databases and document management systems, ensuring accuracy and compliance.
- Prepare correspondence, reports, presentations and meeting documentation.
- Coordinate internal communications, including business updates, training information, workplace initiatives and general organisational communications.
- Build and maintain positive working relationships with internal and external stakeholders.
- Provide backup support across the broader administration and business services team as required.

Financial Administration and Reporting

- Assist with financial administration activities, including budget monitoring, forecasting, reporting and compliance.
- Process and maintain financial records, purchase orders, invoices, corporate card transactions and related documentation.
- Support financial reporting requirements by gathering, analysing and presenting relevant data.
- Contribute to the monitoring of expenditure and budget performance to support informed decision-making.
- Ensure compliance with organisational financial policies,



procedures and reporting requirements.

Reporting, Systems and Process Improvement

- Develop and maintain business management reports and performance metrics, including workforce, leave liability, financial and operational reporting.
- Manage and coordinate reporting processes, including Power BI dashboards and other reporting tools where applicable.
- Identify opportunities to improve business processes, systems and workflows.
- Coordinate the development, maintenance and continuous improvement of business procedures and administrative practices.
- Support organisational initiatives related to safety, health and wellbeing, governance and compliance activities.

Essential Requirements

- Minimum five years' experience in a business administration, business support, office management or corporate services role.
- Demonstrated experience delivering a broad range of business and administrative support functions within a corporate environment.
- Experience supporting financial processes, reporting activities, budget monitoring and forecasting.
- Strong written communication skills, with the ability to prepare professional reports, correspondence, spreadsheets and business documentation.
- Demonstrated ability to work independently, manage competing priorities and meet deadlines.
- Strong organisational and time management skills, with a high level of attention to detail.
- Well-developed stakeholder engagement and relationship management skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint.
- National Police Clearence

Desirable Requirements

- Experience using Power BI or similar reporting and dashboard tools.
- Experience working within finance, commercial services, corporate services or government environments.




- Knowledge of business improvement methodologies and process optimisation.
- Experience supporting Safety, Health and Wellbeing (SHW) initiatives, governance or compliance activities.
