Are you an experienced Orthopaedic Practice Manager looking for a full-time hybrid role with genuine scope to lead?

We are seeking a proactive and experienced Practice Manager to support an established private Orthopaedic Practice that is still in its early stages and growing quickly. This is an opportunity to take ownership of day-to-day practice operations, oversee patient administration, and help shape the next stage of growth for a high-quality specialist surgical practice.

About the role

This is a full-time hybrid role with current onsite attendance of one day per week at the Lane Cove rooms and the remainder of the role performed remotely. The role also includes remote administrative support for the Dubbo clinic, where the specialist currently attends once or twice a month. These arrangements may evolve as the practice continues to grow.

The Practice

Manager will report to the surgeon/practice owner and will be responsible for supervising the Medical Secretary (who works remotely on a part-time basis).

Key responsibilities

- Manage day-to-day practice workflows, phones, appointment scheduling, consulting sessions, and theatre list coordination.
- Oversee billing, receipting, reconciliations, and claiming processes across Medicare, DVA, Health Funds, and Workers Compensation, using the practice's current Gentu system and supporting the proposed implementation of Eclipse billing software.
- Supervise and support the Medical Secretary, ensuring administrative tasks are completed accurately, efficiently, and in line with practice standards.

- Maintain excellent communication with patients, referring GPs, hospitals, and other stakeholders regarding bookings and pre/post-operative support.
- Manage Lane Cove clinics onsite and provide remote administrative support for Dubbo as required, with support needs expected to evolve as the practice grows.

About you

- Demonstrated experience managing an Orthopaedic or specialist surgical private practice is essential.
- Strong knowledge of Medicare, DVA, Health Fund billing, workers compensation processes, reconciliation, and specialist practice management systems, with experience using Gentu highly regarded and confidence learning or supporting Eclipse or similar billing platforms advantageous.
- Able to supervise administrative staff, prioritise competing demands, and keep clinics, correspondence, billing, and theatre administration running smoothly.
- Qualified phone manner, strong written communication skills, and the ability to build trust with patients, referrers, hospitals, and the broader care team.

Why Apply?

- Hybrid Flexibility - Work primarily remotely while maintaining one day per week onsite at Lane Cove, with arrangements that may evolve as the practice grows.
- Established and Growing Practice - Join an established practice that is still in its early stages, growing quickly, and ready for an experienced Practice Manager to lead its next stage.
- Leadership Opportunity - Take responsibility for practice workflows, clinic coordination, supervision of the Medical Secretary, and ongoing improvements to systems and processes.
