SHAPE Darwin is a locally based team delivering fitout, refurbishment and new build projects across the Northern Territory. Our work spans complex, compliance-driven government, defence, education, health and community environments, where coordination, reliability and strong stakeholder relationships matter. As part of our close-knit Darwin team, you’ll have the opportunity to build capability, take on responsibility and help shape lasting outcomes across the Territory.

You’ll play a key role in:

As a Project Administrator, you’ll support our project teams to keep essential administration, documentation and financial processes running smoothly. Working across a diverse mix of Territory projects, you’ll help create well-organised project environments from site set-up through to completion.

- Support general project administration, reporting and project finance tasks
- Process supplier and subcontractor invoices, purchase orders and documentation
- Coordinate RFIs, meeting minutes, correspondence and document distribution
- Maintain project registers, drawings, records and filing systems
- Assist with site set-up, inductions, signage and project administration requirements
- Update project information across our project delivery systems

What you’ll bring

You’ll be organised, proactive and comfortable balancing competing priorities in a fast-paced project environment. You’ll enjoy working closely with a close-knit team,



bringing a practical approach, attention to detail and a commitment to delivering reliable support.

- Previous experience in a project administration or similar administration role
- High-level computer literacy, particularly across the Microsoft Office suite
- Experience in a fast-paced environment with solid customer service skills
- Proficiency with systems such as Procore and Jobpac will be highly regarded
- Strong document control, coordination and record-keeping capability
- A collaborative and adaptable approach to supporting project teams
- A positive, accountable mindset and the ability to build trusted relationships
