About the Role
We are seeking an experienced, professional and highly organised Medical Secretary / Receptionist to join our specialist ophthalmology practice in Windsor.
This is a hands-on role combining front-of-house reception, medical administration and surgical coordination. We are looking for someone who takes pride in providing an exceptional patient experience and who can work accurately, calmly and professionally in a busy specialist medical environment.
The position may be offered on a full-time or part-time basis, depending on the experience, capabilities and availability of the successful candidate.
Previous experience within a specialist medical practice is highly regarded. Experience in ophthalmology, another surgical specialty or surgical bookings is particularly desirable; however, we are also interested in strong medical administration candidates who demonstrate the right attitude, attention to detail and ability to learn.
Key Responsibilities
The role will include:
- Welcoming patients and providing a professional, warm and efficient reception experience.
- Managing incoming telephone calls, patient enquiries and appointment bookings.
- Coordinating specialist consultation schedules and maintaining accurate patient records.
- Processing consultation billing, Medicare and private billing, and completing end-of-day reconciliation and banking.
- Preparing patient surgical quotations and coordinating surgical bookings.
- Liaising with patients, ophthalmologists, hospitals, day surgeries, referring practitioners and other healthcare providers regarding surgical and clinical arrangements.
- Supporting patients throughout the administrative aspects of their treatment journey, from consultation through to surgery.
- Providing administrative and secretarial support to ophthalmologists and the wider clinical team.
- Using medical practice management and clinical software.
- Audio typing and preparing medical correspondence where required.
- Managing incoming and outgoing referrals, reports and clinical correspondence.
- Maintaining accurate documentation and strict patient confidentiality.
- Assisting across reception and administration functions as required in a growing specialist practice.
About You

The successful candidate will demonstrate:
- Previous experience in medical reception, medical administration or medical secretarial work, preferably within a specialist medical practice.
- Excellent organisational skills and a very high level of attention to detail.
- Solid computer literacy and confidence learning new systems and workflows.
- Excellent written and verbal communication skills.
- A professional, calm and confident telephone manner.
- Strong customer service and interpersonal skills.
- The ability to remain composed, courteous and organised during busy clinics.
- Reliability, initiative and accountability.
- The ability to identify problems and take appropriate action rather than waiting to be directed.
- The ability to work independently while contributing positively to a team-oriented team.
- Discretion and a strong understanding of patient privacy and confidentiality.
- Flexibility and willingness to assist across different administrative functions when required.
- A professional approach to communication, workplace relationships and conflict resolution.
- Respect for colleagues and a willingness to contribute to a positive workplace culture.
- Experience with surgical bookings and patient surgical quotations is highly desirable.
Experience within ophthalmology, another surgical specialty or a busy private specialist practice would be particularly advantageous.
