About the role
We are currently looking for an HR Administrator to join our People and Culture Team, supporting the day-to-day operations of the HR function across the organisation. This is a wide-ranging and fast-paced role that plays a vital part in ensuring our HR processes run smoothly and efficiently.
On occasion you will be the first point of contact for staff seeking HR support, so your professionalism, attention to detail, and approachable nature will be important in creating a positive employee experience. Your ability to handle sensitive information with discretion and to provide timely and accurate administrative support will be key to your success in the role.
This position involves a broad range of administrative tasks, including maintaining employee records, assisting with recruitment and onboarding, coordinating training activities, and supporting key HR projects and initiatives. The goal is to help foster an engaged, inclusive, and well-supported workforce.
This is a part-time opportunity 20 hours per week at Level 3.1 of the Social, Community, Housing and Disability Award 2010.
Your duties will include:
People and Culture
- Act as a visible role model by living the Carers ACT values and behaviours.
- Act as the key induction driver for all employees and ensure tasks are completed on time.
- Confidently explain the Carers ACT values and behaviours to new employees during induction.
Service Excellence
- Support the HR function through the provision of administration support throughout the employee lifecycle.
- Ensure employee records are efficiently and accurately maintained within the HR information system.
- Support the recruitment process, including posting job advertisements, candidate tracking, interview panels, second interviews, referee checks and candidate communications.
- Administer the employee onboarding process, including contract preparation, monitoring pre-employment compliance requirements, communication and induction to support a positive employee experience.
- Administer the HR shared mailbox and ensure enquiries are responded to within agreed timeframes or referred/escalated to the appropriate person.
- Prepare employee communications as required.
- Prepare HR reports related to employee compliance matters, leave, employee benefits, training and development, onboarding and offboarding.
- Support Carers ACT employees in following HR policies and procedures by providing accurate advice aligned with legislation, Enterprise Agreement, Carers ACT values, policies and procedures.
- Maintain the organisation chart with new staff and vacant roles.
- Create new documents as required to assist the team.
Building Capability
- Support recruitment and succession planning processes including creation of pre-interview and welcome packs
- Assist in the development and tracking of training programs.
- Maintain compliance and capability data to support workforce planning.
- Contribute to internal communication and knowledge sharing.
Operational Excellence
- Support continuous improvement by contributing ideas and helping refine processes.
- Collaborate with internal teams to enhance HR delivery.
- Assist with the preparation of reports and insights to inform planning.
Engagement & Wellbeing
- Track and report on wellbeing participation.
- Support events that build staff morale and belonging.
- Contribute to internal communication to all staff regarding updates within the People & Culture space.
Compliance
- Ensure all staff have current and valid certifications, checks and visas as required.
- Track compliance and alert managers to any upcoming expiries.
- Participate in policy reviews and help ensure legislative alignment.
- Report risk or non-compliance to the HR Manager as required.
Work Health & Safety
- Support WHS-related documentation during onboarding and offboarding.
- Help deliver safety messages and contribute to a safe, respectful work environment.
- Report WHS risks or concerns through appropriate channels.
- Demonstrate safe work practices.
About you:
Essential
- Certificate IV n Human Resources
- Relevant experience in human resources administration, business administration or a related administrative support role.
- Demonstrated ability to maintain accurate records, handle confidential information and provide timely administrative support.
Desirable
- Experience as an administrator of Employment Hero.
- Experience working in community organisation or a not-for-profit environment.
