Salary commencing at $78,****** per annum plus 12% superannuation, commensurate with skills and experience.

The Opportunity
n
Moonee Valley City Council is seeking a Planning and Building Support Officer to join our City Development team. In this role, you will provide high-quality administrative and operational support across Council's Statutory Planning, Building, Enforcement and Subdivision services, helping to deliver efficient processes and positive outcomes for our customers. This is a varied role where no two days are quite the same. You will work across a range of administrative functions, supporting the team to meet statutory timeframes, maintain accurate records and data, respond to customer enquiries and ensure planning and building services operate effectively.

Key Responsibilities
n
n
Provide administrative support across the Planning, Building, Enforcement and Subdivision services, ensuring tasks are completed accurately and within required statutory and organisational timeframes.
n
Process a range of applications, licences, planning and Council decisions, property and building certificates and other documentation in accordance with established procedures.
n
Manage high-volume administrative and data management tasks, maintaining a high level of accuracy, data integrity and attention to detail.
n
Manage the lodgement and maintenance of subdivision applications, referrals and permit conditions through SPEAR.
n
Prepare and distribute statistical reports, meeting agendas and minutes, compliance registers and other departmental documentation.
n
Undertake a range of administrative functions including meeting and calendar management, mail distribution, invoicing, refunds, purchase orders and file retrievals.

Respond to written,
telephone and face-to-face customer enquiries, providing accurate information and timely referral to the appropriate officer where required.
n
Assist customers to access and navigate Council's online services, webpages and customer portals.
n
Prioritise competing tasks and manage workloads effectively to meet statutory deadlines and deliver timely, professional customer service.
n
Contribute to the establishment, maintenance and review of departmental systems, procedures and digital workflows to support continuous improvement and effective service delivery.

Identify discrepancies, errors or process issues and take appropriate action to resolve or escalated matters as required.
n
Work collaboratively with internal and external stakeholders and contribute positively to a high-performing team environment.

Skills & Experience
n
The ideal candidate will have strong organisational and time-management skills, with the ability to manage competing priorities and meet deadlines in a high-volume, customer-focused environment. You will demonstrate excellent attention to detail and the ability to accurately process, maintain and retrieve information across multiple systems while ensuring data integrity and quality outcomes.
n
Strong computer and digital literacy, including experience using Microsoft Office applications and the ability to quickly learn new business systems and technologies, is essential. You will bring well-developed problem-solving skills, initiative and a proactive approach to identifying issues, improving processes and resolving customer and administrative matters. A Certificate III in Business Administration, or experience in Local Government, Planning, Building or Subdivision administration, will be highly regarded but is not essential. Knowledge of Pathway and TRIM, and/or experience in planning, building, subdivision or enforcement environments, will also be advantageous.
