Enrolments and Administration Manager - Head Office Role

We currently operate three early childhood services — St Kilda East (rated Exceeding), Mordialloc (rated Exceeding) and Frankston (rated Meeting) — with a small pipeline of growth scheduled for late 2026 and early 2027. Our Head Office is located in Caulfield North.

Our Head Office team is a close-knit group of exceptionally passionate leaders who collectively support our centre teams to feel valued and empowered, while ensuring quality and compliance are maintained at the highest standard. We are seeking an exceptional individual to join us in our continued quest for excellence and support our upcoming phase of growth.

THE ROLE

Your Week:

You will be based predominantly at our Head Office, where you will support the Approved Provider and the leadership team with high-level administrative requirements such as Fees, CCS, ACCS, ISS and KISS management, kindergarten funding, debt recovery, recruitment and staffing, policy development and review, marketing, events management and social media campaigns.

You will make regular visits to our services to support the Centre Managers with tours, leads, enrolments, orientaitons and re-enrolments for the following year.

In your Enrolments Manager capacity, you will be responsible for marketing the unique qualities of each centre on social media and internal platforms, and for managing tour bookings, leads, applications and offers through our CRM platform (MyWaitlist).



You will support new families from the offer of enrolment right through to their post-commencement check-in.

You will work closely with Centre Managers to support them and their teams in onboarding new families in a seamless and personable manner, and you will manage and oversee the annual re-enrolment process.

Administration Support:

You will support the Approved Provider and leadership team with Head Office responsibilities, including (but not limited to):

- Processing fees, debt management and reporting
- CCS and ACCS applications, management and reporting
- Kindergarten funding management and reporting
- Policy development, review and implementation
- Overseeing leads, enquiries, tours, enrolments and re-enrolments
- Events calendar implementation and promotion
- Marketing and social media initiatives and management
- Supporting the leadership team to implement the management calendar
- Developing and supporting occupancy initiatives
- Procuring uniforms, stationery, resources and equipment as required
- Staffing and recruitment support
- Developing and supporting initiatives that deliver the highest quality of care and education
- Supporting new centre setups

ABOUT YOU:

As the successful candidate, you will be highly organised, with the ability to oversee multiple tasks and responsibilities at once and to meet deadlines and time-sensitive commitments with ease. Your week may vary depending on where your support is most needed.



You will be comfortable working autonomously and as part of a team.

MUST HAVE:

- Minimum Diploma of Early Childhood
- Minimum 3 years experience in an ECEC leadership/administrative position
- Advanced Qikkids knowledge
- CRM working knowledge and leads/enrolment management
- Solid knowledge CCS/ACCS funding processes and reporting requirements
- Strong knowledge of Kindergarten funding processes and reporting requirements
- Solid knowledge of ISS/KISS funding processes and reporting requirements
- Demonstrated understanding of the Regulations/NQF/EYLF/VEYLDF
- Demonstrated knowledge of the Child Safe Standards, Mandatory Reporting and Reportable Conduct
- Demonstrated Social Media/Marketing Prowess
- Exceptional Communication and Leadership skills
- A "can do" attitude
- Full Drivers Licence
