Executive Assistant / Potential Chief of Staff role

An exciting opportunity for an experienced Executive Assistant with robust Chief of Staff capability to support the Founder & CEO of a hospitality technology business, spanning both established and early‑stage platforms, based on‑site in Melbourne. You won't just manage a calendar — you'll become an extension of how the CEO thinks and operates, helping translate vision into action across both mature, revenue‑generating businesses and newer ventures still finding their feet. This goes well beyond traditional EA support: you'll bring commercial judgement, discretion, and the ability to pick up priorities and projects across multiple businesses with minimal handover.

Key responsibilities

Manage a demanding and complex schedule spanning established and early‑stage businesses, balancing customer conversations, investor meetings, leadership across each entity, and the founder's own thinking time

Act as a filter and gatekeeper — triaging what genuinely needs the founder's attention versus what can be delegated to the relevant leadership team

Prepare the CEO for board meetings, investor updates, customer pitches, and all‑hands across the group

Manage email follow‑ups and the constant stream of asks that come with running a multi‑business, founder‑led group

Own or coordinate specific projects on the founder's behalf — anything from operational reporting for an established business to building foundational processes for a new venture

Draft communications, decks, and materials for investors, partners, and teams across the group

Build trusted relationships across the leadership teams of each business,



acting as a connector between the founder and the wider group

Bring structure and rhythm to businesses that operate at different speeds — steady cadence for the established side, and fast, flexible support for the early‑stage ventures

Help the founder maintain visibility and consistency across the group, without applying a one‑size‑fits‑all approach

About you.

Prior experience, at least 5 years, supporting a founder, CEO, or senior executive across multiple businesses, brands, or portfolio companies at different stages

Commercially minded, proactive, and genuinely energised by fast‑moving, multi‑faceted businesses

Comfortable operating with process and rigour in established businesses, while also being scrappy and hands‑on where things are still being built

Exceptional judgement and discretion — you'll be close to sensitive and confidential information across several entities

Comfortable being both strategic partner and hands‑on doer — no task too big or small

Able to create dynamic presentations, have excellent written communication skills and be able to coordinate projects across different teams and contexts

Ideally, you will have exposure to hospitality, travel tech, or B2B SaaS — or a fast learner who can quickly understand these sectors.

Highly organised, able to context‑switch between businesses without losing detail

Calm under pressure, resourceful, and able to build structure without over‑engineering it

Melbourne based or willing to relocate to Melbourne, and available to work on‑site full‑time

A relevant Degree in commerce, business or communications would be highly regarded.
