The Seminaries and Institutes (SAI) department is seeking a dedicated and organised Administrative Assistant to join its team at the Sydney Office. This permanent part-time (30.4 hours per week) position reports directly to SAI Coordinator with a target commencement date of 17 August 2026. Responsibilities
- Compile data from various sources to prepare memos, documents, reports, spreadsheets (including charts and graphs), and presentations using diverse software and platforms
- Perform research, analyze information, and make recommendations based on findings
- Take meeting minutes and manage meeting documentation
- Use computer applications and software to schedule meetings, appointments, and maintain calendars
- Provide administrative training to teachers one-to-one and in council meetings and organise refreshments.
- Support projects, programs, or processes e.g. social media posts, event creations and invitations
- Answer moderately complex telephone and email requests
- Reconcile expenses,
ordering and maintaining stock whilst working within the office budget.
- Occasional work outside regular office hours
Qualifications
- High School Diploma or equivalent qualification
- Entry to working-level experience in administrative support
- Strong written and verbal communication skills with a professional approach
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and ability to learn new systems
- Experience in Seminary and Institute as a student or teacher is preferred
- Ability to organise, prioritise, and manage multiple tasks effectively
- Problem-solving capability and ability to resolve basic issues independently
- Attention to detail and accuracy in preparing documents and reports
- Ability to maintain confidentiality and handle information with discretion
- Strong interpersonal skills and ability to work collaboratively with others
- Ability to operate standard office equipment
- Reliability, professionalism, and a positive attitude
- Proof of legal right to work in Australia
- A police background check may be required
