About Us
Established in 1998, Volunteering Gold Coast (VGC) was created to harness the power of local volunteers. Since then, VGC has recruited more than 60,000 volunteers, supporting direct services and a broad network of community organisations across the Gold Coast.
VGC delivers a range of community services designed to keep people connected, supported and able to participate in everyday life. As a Volunteer Resource Centre (VRC), we connect people with meaningful volunteering opportunities and work with community organisations to strengthen the local volunteering sector. VGC also delivers Community Transport, supporting older people, people with disabilities and vulnerable residents in accessing medical appointments, shopping and social activities.
About the Role
As the Administration & Client Assessment Assistant (6-month contract), you will be a key first point of contact for clients, carers, volunteers and community partners. You will manage enquiries, conduct client intake and eligibility assessments, maintain accurate records, coordinate service commencements, and support the delivery of high-quality community transport and support services. This fixed-term 6-month contract offers an opportunity to play a meaningful role in improving the lives of community members while contributing to a supportive and purpose-driven organisation. Working as part of our Community Services team, you will help ensure clients receive timely,
person-centred support that promotes independence, connection and wellbeing across the Gold Coast community.
Key Responsibilities
Client Intake & Assessment
- Respond to client enquiries via phone, email and face-to-face interactions
- Conduct client intake interviews and eligibility assessments
- Gather and verify client information, support needs and service requirements
- Coordinate onboarding and commencement of services
- Provide information about available programs, fees and service options
- Support referrals to internal and external community services
- Maintain regular communication with clients and carers
- Escalate complex client matters where required
Administration & Records Management
- Maintain accurate electronic and paper-based client records
- Enter and update information within client management systems
- Prepare correspondence, reports and documentation
- Support compliance, reporting and funding requirements
- Manage general enquiries, incoming emails and correspondence
Service Coordination Support
- Assist with transport booking enquiries and scheduling support
- Liaise with drivers, volunteers and operational staff
- Monitor assessments, referrals and waitlists
- Support continuity of services through effective communication and coordination
Quality & Compliance
- Contribute to quality improvement initiatives and audits
- Ensure compliance with privacy and organisational requirements
- Support best-practice service delivery aligned with Aged Care and NDIS standards.
About You
You are a compassionate and organised professional who enjoys helping people and delivering outstanding customer service. You understand the importance of making a positive first impression and can confidently support clients, carers and stakeholders with empathy, professionalism and respect.
Essential Skills and Experience
Essential
- Experience in administration, client intake, customer service or community services
- Strong Microsoft Office skills, including Outlook, Word, Excel and Teams
- Experience working with databases or electronic record management systems
- Excellent written and verbal communication skills
- Robust organisational and time-management abilities
- High level of accuracy and attention to detail
- Ability to maintain confidentiality and manage sensitive information
- Ability to work collaboratively as part of a team while also working independently of a team
Desirable
- Qualifications in Community Services, Individual Support, Business Administration or a related field
- Experience in aged care, disability services, community services or client assessment
- Knowledge of My Aged Care processes and community transport services
- Understanding of Aged Care Quality Standards and person-centred practice
- Knowledge of community support services available across the Gold Coast
