Apax Stone Projects is seeking an experienced Office Manager to manage and coordinate the administrative operations of our Cairns office.

Apax Stone Projects provides skilled construction and tiling services throughout Queensland, specialising in swimming pools, outdoor tiling, paving, stone installation and associated construction works.

As our Cairns and Far North Queensland operations continue to grow, we require an experienced Office Manager to manage the day-to-day administrative functions of our Cairns branch and coordinate support for management, field employees, subcontractors, suppliers and clients.

Position: Office Manager

Location: Cairns, QLD

Employment Type: Permanent Full-Time

Hours: 38 hours per week

Salary: $85,000 per annum + superannuation

Key Responsibilities

- Manage the day-to-day administrative operations of the Cairns office

- Develop, implement and maintain office systems and administrative procedures

- Coordinate administrative support for Cairns construction projects and field teams

- Maintain employee, subcontractor, client and project records

- Coordinate employee onboarding and employment documentation

- Maintain timesheet and payroll information for management and accounts

- Coordinate accounts payable and accounts receivable documentation

- Maintain records using Xero and company management systems

- Coordinate supplier and subcontractor documentation

- Manage office correspondence, telephone and email communications

- Coordinate project administration and scheduling information

- Maintain business registers, filing systems and compliance records

- Monitor office equipment, supplies and administrative requirements

- Liaise with clients, suppliers,



subcontractors and employees

- Assist management with recruitment and workforce administration

- Implement and maintain office policies and procedures

- Prepare operational and administrative reports for management

- Coordinate meetings, appointments and management schedules

- Coordinate communication between the Cairns office and company management

- Monitor administrative workflow and ensure deadlines are met

- Supervise and coordinate administrative functions as the Cairns operation expands

Requirements

Applicants should have:

- Relevant qualification in business administration, management or a related discipline, or substantial relevant experience

- Previous experience as an Office Manager or in a comparable administrative management role

- Strong organisational and administrative management skills

- Experience implementing and maintaining office procedures

- Experience maintaining business, employee and project records

- Strong Microsoft Office skills

- Experience using Xero or similar accounting software

- Strong written and verbal communication skills

- Ability to manage multiple priorities and deadlines

- Ability to work independently and take responsibility for office operations

- High level of accuracy and attention to detail

- Ability to Integrate AI to work

Experience within a construction, building, trades or project-based business will be highly regarded.

This is a permanent full-time Cairns-based position supporting the continued expansion of the company's

Far North Queensland operations.
