The Role
We are seeking a highly organised and capable Executive Assistant and Purchasing Support professional to join our Technology and Innovation team.
Reporting to the Executive General Manager Technology and Innovation, this wide-ranging role provides high-level executive, governance and business administration support to the Executive General Manager and the broader Technology and Innovation business unit. The position also coordinates purchasing, procure-to-pay and related financial administration activities across the team.
This role is suited to someone who enjoys working in a fast-paced environment and can confidently balance executive support with business unit administration, purchasing workflows, reporting deadlines and stakeholder requests. You will play a key role in ensuring the smooth operation of the Technology and Innovation team while supporting strategic and day-to-day business activities.
Key Responsibilities
- Provide high-level executive support, including diary management, correspondence, meeting coordination and travel arrangements.
- Prepare and coordinate presentations, reports, briefings and meeting materials.
- Coordinate monthly reporting, Board and Executive papers, including tracking deadlines and managing document version control.
- Maintain action registers, reporting schedules, calendars and follow-up actions.
- Support onboarding and offboarding activities for employees and contractors.
- Coordinate purchase requisitions, purchase orders, goods receipting and related procure-to-pay activities.
- Support budget coordination, expenditure tracking and financial administration activities.
- Verify invoices against purchase orders, contracts and receipting records and assist with resolving discrepancies.
- Liaise with internal stakeholders, corporate functions and suppliers to coordinate information and support business outcomes.

About You
You are a self-reliant and proactive professional who takes ownership of your work and enjoys supporting senior leaders in a fast-paced environment.
You are comfortable operating with limited direction and have the confidence to anticipate needs, manage competing priorities and follow tasks through to completion. You exercise sound judgement, know when to escalate issues and can be relied upon to deliver quality outcomes while maintaining confidentiality and professionalism.
You build strong relationships and communicate effectively with stakeholders at all levels. You enjoy working collaboratively across teams and are equally comfortable managing executive support responsibilities, purchasing activities, reporting requirements and business administration processes.
Qualifications & Experience
- Relevant qualifications in Business Administration, Finance, Commerce, Executive Assistance or a related discipline will be highly regarded.
- Demonstrated experience in executive assistance, business administration, purchasing/procure-to-pay,
finance administration, contract administration or a comparable commercial support role.
- Experience supporting a senior executive, leadership team or business unit within a corporate, operational, infrastructure, technology or commercial environment. [
- Strong experience managing competing priorities, reporting deadlines and stakeholder requests with a high degree of independence.
- Experience coordinating procurement and purchasing processes, including purchase orders, invoice verification, goods receipting and approval workflows.
- Experience preparing reports, presentations, Board papers, executive documentation and briefing materials.
- Strong attention to detail and experience maintaining registers, expenditure trackers, action logs and reporting schedules.
- Experience supporting budget coordination, expenditure tracking and financial reporting activities.
- Strong communication, relationship-building and stakeholder management skills.
- Proficiency with Microsoft Office applications and the ability to quickly learn new systems and technologies.
Desirable
- Experience with TechnologyOne, DocuSign CLM or similar finance, procurement or contract management systems.
- Experience administering commercial agreements and monitoring contract obligations.
- Familiarity with procurement policies, delegations of authority, supplier engagement and approval processes.
- Experience supporting tender, quotation or supplier evaluation activities.
