About the Role

We are seeking a highly organised and proactive Administration Assistant to support the day-to-day operations of our Sunshine Coast geotechnical laboratory. This is a great opportunity for someone early in their administrative career who is eager to learn, grow, and develop a broad range of skills.

In this role, you will be working closely with and be supported by our experienced Office Manager and Laboratory team. You will play a key role in ensuring the smooth running of the laboratory by providing administrative support to laboratory staff, engineers and managers.

This is a varied, fast-paced role suited to someone who enjoys juggling multiple priorities, is proactive, and takes pride in helping others.

Key responsibilities include:

- Providing general office administration support including reception duties and phone management

- Providing administrative support to laboratory operations, including calendar management, vehicle bookings, staff onboarding and record maintenance





- Managing laboratory and project data across internal systems (GeoTester and VantagePoint) including data entry and filing

- Setting up projects, registering samples and maintaining accurate client and testing information

- Supporting client communications, including enquiries, results dispatch and timeframes

- Assisting with invoicing, timesheets, expense claims and project audits

- Supporting QA, compliance, calibrations, equipment and laboratory supplies

Hours are Monday to Friday, 8:00 am – 4:30 pm

About You

- Experience in an administrative role would be an advantage but is not essential

- Working knowledge of Microsoft Office (Word, Excel, MS Teams)

- Any exposure to drafting or mapping software such as QGIS, AutoCAD or similar would be beneficial

- Excellent written and verbal communication skills with the ability to communicate confidently with a range of people including clients

- Solid organisational, time management and multitasking abilities

- High attention to detail
