Position Description Training Pathways Officer (0.6 FTE / 3 days per week)

Role Purpose
The Training Pathways Officer supports the National Education and Training Manager by owning the operational delivery of two core training program functions:
- Selection Application Cycle
- Hospital Accreditation Administration
The role ensures these cyclical processes run smoothly, consistently, and on time, allowing the National Education and Training Manager to focus on strategy, governance, stakeholder engagement, and program development.
Reporting Relationships
- Reports to: National Education and Training Manager
- Works closely with: Training Officer, Accreditation Panel, Selection Panel, Supervisors, Trainees, hospitals, RACS staff
- Supervision: No direct reports
Key Responsibilities
1. Selection Application Administration (Annual Cycle)
- Respond to applicant enquiries
- Coordinate the end‑to‑end applications workflow including liaison with RACS, applicant communications, eligibility checks, and evidence collation.
- Configure and administer an application platform.
- Manage referee report collection and tracking.
- Prepare documentation for selection panels and interviewers.
- Coordinate interview scheduling, logistics, scoring sheets, and panel support.
- Collate results, prepare summary reports, and draft outcome notifications.
- Monitor challenges and prepare proposals for enhancements
- Maintain accurate applicant records and support appeals documentation.
2. Hospital Accreditation Administration
- Prepare pre-inspection reports
- Coordinate accreditation schedules, documentation packs, and evidence collection.
- Configure and administer an application platform.
- Liaise with hospitals regarding submission requirements and deadlines.
- Maintain the accreditation database and compliance tracking.
- Support accreditation panel members with logistics and documentation.
- Draft accreditation visit summaries and follow‑up action logs.
- Monitor challenges and prepare proposals for enhancements.
Required Skills & Experience
- Advanced MS Office skills, especially Excel, and familiarity with website content management and PDF software
- Experience in education administration, training program coordination, or health sector operations.
- Strong organisational and workflow management skills.
- High attention to detail and accuracy in documentation.
- Excellent communication and stakeholder liaison skills.
- Ability to manage cyclical workloads with peak periods.
- Competence with CRM, LMS, or training management systems.
OTHER RELEVANT INFORMATION
1. The role is part‑time, 3 days (22.5 hours) per week.
2. Hours and days worked are flexible (e.g. you might work part time across 5 days or 3 full days of your choice)
3. Salary is $70,000 per annum plus superannuation. (For the three days)
4. The position is based in St Leonards, NSW
