iBulk designs and manufactures specialist bulk material handling and separation equipment for customers across food, pharmaceutical, mining and recycling industries, in Australia and overseas. We're a secure, established business of around 20 people, and we take real pride in the quality of our work.

We're looking for an experienced purchasing person to take full ownership of how material gets into the building, and importantly, to improve the systems and processes that get it here.

The role

This is a permanent full-time position, on site in Dandenong South, reporting to the Managing Director.

The day-to-day purchasing work is what you'd expect: materials planning and replenishment through Sybiz, raising and expediting purchase orders and works orders, managing minimum stock levels, and keeping accurate purchasing, inventory and shipment records. We import from overseas, so you'll also manage LCL and FCL shipments end to end, working with suppliers, freight forwarders and customs brokers, tracking ETDs and ETAs, and making sure commercial invoices, packing lists and Certificates of Origin are right before they're needed.

But there are two dimensions to this role that matter just as much to us.

The first is engineering literacy. We build custom equipment, so what we buy is driven by drawings, not by a standing catalogue. You need to be able to pick up a fabrication or engineering drawing, interpret it, extract the bill of materials, check it against what's already on the shelf, and build up a materials estimate our quoting can rely on. This is a core part of the job, not a nice-to-have. If you can't read a drawing, this role won't work.

The second is our systems and processes. We want someone who will look critically at how we do things: how POs and works orders are raised, how stock is tracked, how information moves between purchasing, production and sales. Identify what's clunky or inconsistent, and actually fix it. If you're the kind of person who finds a messy process genuinely irritating and gets satisfaction from leaving things better than you found them, this role was written for you.





And because we run lean, you'll be part of how we cover each other. You'll support our external sales staff and engineering team in servicing our customer base, and when people are on leave you'll pick up internal sales enquiries and dispatch bookings. It's a small team and everyone stretches.

What the work looks like day to day

- Materials planning to optimise inventory levels, managing minimum stock levels and determining what needs replenishing

- End-to-end purchase order and works order administration in Sybiz: raising orders, supplier follow-up, order tracking and accurate purchasing records

- Interpreting engineering and fabrication drawings, extracting bills of material, checking stock and identifying what needs to be bought

- Materials estimating support for quoting: pricing up a BOM, chasing supplier quotes, flagging long-lead items early

- Expediting logistics and managing long lead times to protect on-time delivery to production

- Managing overseas LCL and FCL imports from supplier dispatch through to arrival, tracking ETDs, ETAs and key shipment milestones

- Collating and checking import and customs documentation: commercial invoices, packing lists, Certificates of Origin

- Liaising with overseas suppliers, freight forwarders, customs brokers and logistics providers

- Reviewing supplier performance and managing suppliers through delays, shortages, quality issues and pricing discrepancies, including sourcing alternative vendors

- Receipting orders against POs in Sybiz, and resolving the pricing and quantity discrepancies that accounts flags on supplier invoices

- Working with Production and the Warehouse on forecasting, demand planning and purchasing requirements

- Supporting external sales and engineering in servicing the customer base, and covering internal sales enquiries and dispatch bookings during leave





- Critically assessing current processes, documenting them and driving improvement across purchasing and inventory

About you

You have at least three years of purchasing experience in an Australian manufacturing business, not distribution or retail replenishment. You're used to working autonomously and owning outcomes rather than just processing paperwork.

You can interpret engineering and fabrication drawings confidently and take a bill of materials off them. You understand steel, fabrication and mechanical components well enough to know when a quote looks wrong, when a lead time is optimistic, and when a substitute is and isn't acceptable. Experience or knowledge of bulk material handling or engineering products will be highly regarded.

You've handled overseas imports, LCL and FCL, freight forwarders, customs brokers and the documentation that goes with them, and you know what happens when the paperwork isn't right.

You understand small business: limited resources, the wearing of multiple hats, and the fact that things don't always run to a textbook. Close attention to detail is essential, and when something doesn't look right, you chase it down rather than move on. You communicate well, in writing and on the phone, with suppliers and customers alike.

Experience with Sybiz Vision is genuinely valuable, and we'd love to hear about it. If you haven't used Sybiz specifically, a track record of quickly picking up new ERP systems is just as useful to us. Robust Microsoft 365 skills are expected, particularly Excel and Outlook.
