We are seeking an experienced Front Desk Administrator to join our friendly professional team to be the welcoming face of our WA Branch. Manage reception, customer enquiries, accounts processing, travel bookings, meeting coordination, and provide trusted administrative support to senior leadership in a professional, fast-paced environment.
Some of the Role key responsibilities include;
- Ensure reception coverage during business hours (Mon-Fri ~ 7:30am - 3:40pm), maintaining a professional and welcoming front-of-house presence at all times.
- Act as the first point of contact for visitors, customers, suppliers, and stakeholders, delivering exceptional customer service.
- Manage all phone, email, and walk-in enquiries, ensuring prompt and accurate responses.
- Maintain a polished, organised, and professional reception, boardroom, and common office areas.
- Coordinate visitor sign-in processes,
ensuring all site access and compliance requirements are met.
- Manage meeting room bookings, room set-up, catering, and stakeholder hospitality.
- Oversee office supplies, stationery, kitchen stock, mail, and courier services to support daily operations.
- Provide administrative support including document preparation, scanning, filing, data entry, and reporting.
- Assist with accounts administration, purchase orders, contractor payments, and client reporting activities.
- Provide high-level administrative support to the State Manager and leadership team, including diary management, travel coordination, and meeting arrangements.
What we are looking for in an ideal candidate:
- Proven experience in a Reception, Administration, Executive Assistant or Personal Assistant role (3+ years preferred).
- Exceptional communication skills, with the confidence to engage professionally with customers, visitors, and senior leaders.
- A natural organiser who can manage competing priorities while ensuring nothing falls through the cracks.
- Strong Microsoft Office skills, including Outlook, Word, Excel, and Teams.
- Previous experience supporting managers or executive teams, with excellent diary, travel, and meeting coordination skills.
- Someone who takes ownership of their role, treats the front office as their own, and takes genuine pride in delivering a first-class experience every day.
- Proactive and self-motivated, with the initiative to solve problems independently and continuously improve processes.
- Professional, reliable and punctual, with the ability to remain calm, discreet, and composed under pressure.
- Technically capable, comfortable using office equipment, conference technology, and business systems (SAP experience advantageous).
- A positive team player who presents professionally, values confidentiality, exercises sound judgement, and contributes to a respectful workplace culture.
Mandatory Requirements: Australian Citizens or Permanent Residents only, Certificate III in Business Administration (or similar), current WA Driver's Licence and reliable vehicle, and willingness to undertake a Pre-Employment Medical and National Police Clearance.
