The Electrical Trades Union Victorian Branch is seeking an experienced Industrial Administration Facilitator to join our team on a 16-month, full-time, fixed-term parental leave contract based at our head office in North Melbourne.
Since 1902, the Victorian Branch of the Electrical Trades Union has proudly represented licensed electrical workers across Victoria. We currently have more than 24,000 members working across electrical and communications contracting, power, manufacturing, rail, maintenance and other industries.
Together, we fight for fair wages and conditions and safer workplaces for electrical workers.
About the role:
The Industrial Administration Facilitator provides high-level administrative and executive support to approximately 22 elected Union Officials.
The position has primary responsibility for the administration and coordination of the enterprise agreement process, from the early drafting stages through to lodgement with the Fair Work Commission.
This is a varied role suited to an experienced administrator who is highly organised, has exceptional attention to detail, is confident managing competing priorities and comfortable liaising with a broad range of internal and external parties.
Key Responsibilities
- Coordinate the administrative process for enterprise agreements from initial drafting and voting through to lodgement with the Fair Work Commission.
- Work closely with Union Officials and the Union’s in-house legal team to prepare and amend enterprise agreement documents.
- Prepare, proofread and format complex enterprise agreements in Microsoft Word and PDF, ensuring documents are accurate, consistent and professionally presented.
- Coordinate the administrative and statutory steps required for agreement voting and Fair Work Commission lodgement, including monitoring key dates, waiting periods, documentation and forms.
- Maintain accurate records and tracking systems for enterprise agreements, entry permits, Shop Stewards and Health and Safety Representatives.
- Provide high-level administrative and executive support to the Assistant Secretaries, President and Union Officials, with backup support to the Secretary as required.
- Work collaboratively to coordinate conferences, mass meetings, functions and other events, including registrations, correspondence, travel, accommodation and event logistics.
- Prepare professional PowerPoint presentations, meeting papers, correspondence and other organisational material.
- Provide secretariat support to the Finance, Audit, Risk and Remuneration Committee, including acting as Minutes Secretary, preparing meeting papers, accurately recording and drafting minutes, and coordinating follow-up actions arising from meetings.
Skills and Experience:
- Extensive prior experience in a senior or executive-level administrative role.
- Advanced written and verbal communication skills, with strong attention to detail and problem-solving ability.
- Demonstrated ability to work independently, manage competing priorities and exercise a high degree of initiative.
- Advanced Microsoft Word skills together with robust proficiency in Excel, PowerPoint, Outlook, and PDF document preparation.
- Advanced proofreading and document production skills, with the ability to identify and amend formatting, numbering, grammatical and consistency errors in complex documents.
- Previous experience with enterprise agreements, industrial relations or the union movement would be advantageous but is not required. Training in the relevant enterprise agreement processes and Fair Work Commission requirements will be provided.
