About the Opportunity
Our client is seeking a reliable and customer-focused Customer Service Representative to join their team. Working closely with Sales, Production, Warehouse, Logistics and Finance, this role will be responsible for supporting the end-to-end customer order process while delivering timely, accurate and professional service to both internal and external customers.
Working across order processing, customer enquiries, delivery coordination and sales administration, you will ensure customer and order information is accurately maintained, orders progress smoothly from receipt through to dispatch, and any issues are resolved efficiently to support strong delivery performance and customer satisfaction.
Key Outcomes of the Role
CUSTOMER SERVICE AND ORDER MANAGEMENT
- Receive customer orders and enter them accurately into Microsoft Dynamics 365 Business Central in accordance with approved policy and procedures
- Obtain and confirm all required specifications for custom-made orders before entering or releasing the order
- Monitor the order bank and order status each business day, proactively communicating changes that may affect confirmed delivery dates
- Follow up on back orders and out-of-stock products and communicate updates to customers and Sales
- Receive, record, resolve, or escalate customer complaints in accordance with company procedures
- Record details of unanswered calls and ensure messages are distributed promptly
SALES AND CRM SUPPORT
- Maintain accurate customer and activity records in Microsoft Dynamics 365 Business Central
- When required, provide backup support to the Sales team by assisting with pricing enquiries and preparing quotations for standard and made-to-measure products
- When required,
provide customers with relevant product and service information, including features and benefits, when supporting sales enquiries
CROSS-FUNCTIONAL COORDINATION AND DISPATCH PLANNING
- Coordinate with customers, Sales and Production teams to resolve order discrepancies and confirm information required for accurate order processing
- Prepare and communicate the daily warehouse priority list, identifying orders that must be packed and dispatched within the next 48 hours
- Work with Warehouse, Logistics and Finance to resolve order, dispatch, delivery, invoicing, or account-status issues
BUSINESS SYSTEMS, DATA, AND REPORTING
- Maintain accurate, complete and current information in Microsoft Dynamics 365 Business Central
- Investigate data or process variances, document the cause, and coordinate corrective action with the appropriate parties
- Prepare agreed customer service and order status reports
CONTINUOUS IMPROVEMENT AND COMPLIANCE
- Maintain current knowledge of the company’s products, services, and relevant workplace practices.
- Participate in training and continuous improvement activities.
- Comply with company policies and procedures, workplace health and safety requirements, privacy and confidentiality obligations, and applicable laws and professional standards.
About You
You are someone who:
- Has at least one year of experience in customer service, sales administration, order processing, or a comparable operational support role
- Has sound Microsoft Office skills, including intermediate Microsoft Excel capability
- Demonstrates a high level of accuracy in data entry
- Has excellent organisational skills and the ability to manage competing priorities, and effectively meet deadlines
- Has strong attention to detail and takes pride in accuracy
- Has transparent and professional verbal and written communication skills
- Is reliable, punctual and comfortable working in office full-time
- Communicates professionally with internal and external stakeholders
- Is proactive, accountable and follows through on commitments
- Works effectively in a small team environment and brings a positive, can-do attitude
A relevant tertiary qualification or equivalent practical experience will be highly regarded. Experience using an ERP system, preferably Microsoft Dynamics 365 Business Central, and a CRM system would be advantageous, as well as experience in environmental products, industrial consumables, warehousing, or supply-chain operations.
