Finance & Accounts Administrator

Position Overview The Finance & Accounts Administrator plays a key role in supporting the finance function of Laneway Education Australia, a Melbourne-based Australian education provider. The role covers both the day-to-day transactional finance of the college — bank reconciliation, invoicing, payroll preparation, agent commissions, and student refunds — and broader finance functions, including monthly reporting, budgeting, cash flow monitoring, and statutory compliance. The role works closely with the Admissions team and Finance Manager, and contributes to the effective financial management and smooth day-to-day operations of the college.
Key Responsibilities
- Perform daily bank reconciliation in Xero and aXcelerate, identifying and resolving discrepancies in a timely manner.
- Prepare and issue agent commission reports, and input all billing, contractor, and expense invoices into Xero with correct coding.
- Prepare fortnightly batch payment and payroll documentation, ensuring accurate and timely processing.
- Coordinate student refunds and invoice cancellations as directed by the Admissions team, maintaining accurate records.
- Prepare monthly management reports,
budget-to-actual analysis, and cash flow forecasts for the Finance Manager.
- Support the annual budgeting and forecasting process, including tuition and agent commission revenue modelling.
- Review and reconcile general ledger accounts in Xero, ensuring accuracy of month-end and year-end close processes.
- Coordinate quarterly BAS, IAS, superannuation, income tax, and other compliance obligations, liaising with the external accountant and auditors as required.
- Monitor the accounts email inbox and respond to correspondence professionally, escalating as appropriate.
Key Selection Criteria
- Qualification in Accounting and Finance (Certificate IV or higher; degree or CPA/CA studying preferred).
- Previous experience in an accounting, finance, or administrative role. A minimum of 2 years' experience is essential
- Proficiency in MS Office, with working knowledge of Xero (required) and aXcelerate or similar systems; advanced Excel skills highly regarded.
- Sound understanding of Australian statutory and tax compliance requirements.
- Solid attention to detail, organisational skills, and ability to manage competing priorities and meet deadlines.
- Strong analytical, problem-solving, and stakeholder communication skills.
- Full working rights in Australia.
